As a Private Client Legal Assistant, you will play a pivotal role in supporting our private client team. Your attention to detail and empathetic approach will be instrumental in assisting our clients and ensuring their legal matters progress smoothly. Your exceptional communication skills and ability to anticipate client needs will enhance our reputation for exceptional client service.

Responsibilities:

  • Client Communication: Interact warmly and professionally with clients, promptly responding to inquiries and providing updates on case progress.
  • Document Preparation: Assist in drafting and proofreading legal documents, including wills, trusts, powers of attorney, and other estate planning instruments.
  • Case Management: Organize and maintain client files, ensuring all relevant documents are accurately filed and easily accessible.
  • Meeting Coordination: Schedule appointments and meetings for attorneys, clients, and other stakeholders, managing calendars efficiently.
  • Research: Conduct legal research as needed to support the private client team in addressing client needs and inquiries.
  • Court Filings: Assist in preparing and filing legal documents with courts and government agencies as required.
  • Billing and Invoicing: Accurately record billable hours and expenses, assisting in generating and sending invoices to clients.
  • Office Coordination: Collaborate with other legal support staff to maintain a smooth workflow and ensure excellent client service.

Qualifications:

  • Bachelor's degree or equivalent, preferably in legal studies.
  • Proven experience as a legal assistant or in a similar administrative role, with exposure to private client matters being an advantage.
  • Proficiency in MS Office Suite and legal case management software.
  • Excellent written and verbal communication skills, demonstrating empathy and professionalism when interacting with clients.
  • Strong organizational abilities and the capacity to manage multiple tasks effectively.
  • Familiarity with private client legal procedures, including estate planning and probate matters.
  • Discretion and the ability to handle sensitive information with utmost confidentiality.
  • A proactive and positive attitude, with a passion for delivering exceptional client service.
