We are seeking a dedicated Customer Service Representative/Administrator to join a small team in Swindon on a guaranteed temporary to permanent basis. This role is crucial for the efficient management and processing of order entries and ensuring excellent service delivery through accurate handling of customer orders and administrative support.
Day-to-day of the role:
- Manage and process order entries into relevant ERP systems.
- Book call-offs from frame orders into the ERP system and ensure order acknowledgements are sent to customers promptly.
- Identify orders with lead times that do not meet customer expectations and escalate to the customer service team as needed.
- Address orders that cannot be acknowledged due to credit blocks by escalating to the appropriate customer service representative.
- Request the creation of new customer ship-to addresses in the system and follow the necessary processes for setup.
- Ensure the accuracy of prices in orders by checking against system funnels; liaise with the Facilities team for quotation-only articles and contact sales support or product management for missing prices or discrepancies.
- Perform additional administrative tasks related to the order-to-cash process, such as proper order archiving.
- Process orders within the SalesForce Order Entry queue timely, adhering to set milestones.
- Process all customer-related Return Material Authorizations (RMA) effectively.
- Support the Sales Team with administrative tasks, including preparing quotations, communicating lead times, checking inventory levels, and creating New Part Requests.
Required Skills & Qualifications:
- Proven experience in order processing or a similar administrative role.
- Familiarity with ERP systems and SalesForce.
- Strong attention to detail and the ability to manage multiple tasks simultaneously.
- Excellent communication skills and the ability to work effectively in a team.
- Problem-solving skills and the initiative to resolve issues promptly.
