Office Manager

Edgingtons Architects are looking for a professional and self-motivated Office Manager to join our friendly and hard-working team based at our offices in Windsor. In this role, you would have key responsibilities in the day to day running of the office, including all the systems and processes that enable effective and efficient functioning, as well as providing support to the directors, finance department and architects through a variety of tasks. We are looking for a team player who wishes to be a pivotal part of our team, all of whom take pride in the high-quality service that the Company provides.

This is a key role to support the growth of the team and the business.

Key Responsibilities:

Executive and Financial Support:

  • Provide comprehensive administrative support to the directors, including calendar management, travel arrangements, and meeting coordination.
  • Handle financial tasks and payment processing accurately and promptly.
  • Manage accounts and oversee payments for various services.
  • Day to day maintenance of Sage Accounting system
  • Raising sales invoices - updating Sage
  • Bank receipts and payments - updating Sage
  • Updating and reconciling bank account
  • Credit Control - chasing up client receipts
  • Purchase Ledger - processing of invoices, paying suppliers and keeping Sage up to date
  • Manage office budgets, expenses, and petty cash.
  • Salaries - liaising with payroll department, distribution of payslips, payment of salaries & PAYE
  • VAT reconciliations - quarterly payment
  • Preparation of monthly accounts - liaising with accountants and Finance Director
  • Assistance with year-end statutory reports
  • Maintenance and updating of income projection document and cashflows and other regular reports.

Office Management:

  • Oversee daily office operations, including managing office supplies, equipment, and facilities.
  • Co-ordinate office maintenance and repairs, liaising with vendors and service providers as needed.
  • Ensure the office environment is clean, organised, and conducive to productivity.
  • Act as the point of contact between executives and internal/external clients
  • Liaising with the landlords on matters to do with the building

Administrative Duties:

  • Handle incoming calls, emails, and other communications, responding to inquiries and redirecting as necessary.
  • Organise and maintain filing systems, both electronic and physical.

Event Planning and Coordination:

  • Plan and organise company event and meeting.
  • Co-ordinate logistics for internal and external events, including venue booking, catering, and travel arrangements.

Human Resources Support:

  • Oversee HR functions including onboarding, offboarding, employee records management, and policy enforcement.
  • Co-ordinate employee benefits, leave requests, and payroll administration.
  • Assist in the development and implementation of HR policies and procedures.
  • Act as a point of contact for employee queries and concerns, fostering a positive work environment

Health and Safety

  • Completing annual office risk assessments
  • Updating the office Health and Safety Policy
  • Organising for equipment to be PAT tested once a year

Qualifications:

  • Minimum of 3-5 years of experience in an administrative or office management role.
  • Proficienct in Sage, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Indesign and other relevant software.
  • Excellent organisational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality in handling sensitive information.
