Diary Controller

Our client is a leading name in the UK Removals Industry and is looking to expand their successful Operations team in London. The team oversees the daily operation of more than 25 vehicles and approximately 80 crew members.

As a key member of the Operations department, this role reports directly to the Operations Manager and plays a critical part in the smooth operation and management of the team.

This is a hands-on role that requires flexibility and commitment. While you will follow the instructions and guidelines provided by the Operations Manager, your primary responsibility will be managing the diary for the road crew.

Experience in removals operations is beneficial but not essential.

This is a full time, office based position. Monday - Friday, 7am - 4pm

Main Responsibilities:

  • To ensure that all labour is used to its maximum efficiency and to control road teams/crews.
  • Ensure operations staff are smart and tidy, and wearing full uniform.
  • Effective programming of vehicles.
  • To ensure all paperwork is correctly completed by crews and office staff.
  • To brief and debrief all crews.
  • To ensure compliance with all statutory regulations - particularly those relating to transport, Tacho and Vehicle servicing and Health & Safety.
  • Acting as a point of contact for internal and external stakeholders via email, over the phone or in person. Ensuring prompt assistance with queries and advising the Operations Manager as necessary
  • To ensure a weekly physical inspection of vehicles is undertaken to maintain condition of vehicles at an acceptable level
  • Monitor and respond to emails in a timely fashion
  • To ensure compliance with all HR policies and procedures, and all other policies and procedures in place
  • When necessary, maintain accurate daily time and attendance records using Promark and assist with monitoring employee absence.
  • Ensure all accidents & injuries are recorded in the accident register promptly and correctly.
  • Alert HR to any employees who take time off work.
  • Support the Operations Manager with ad hoc administrative tasks to meet business demands
  • Assist with generating job sheets and relevant paperwork for the road crew
  • Respond to requests for information and project support as and when required by colleagues within the Operations team and across all departments
  • Proactively recommend improvements and forward suggestions to the Operations Manager
  • Provide holiday/absence cover within the department

Knowledge, Skills & Experience:

  • Working knowledge of EU, Worldwide and UK moving practices (willing to undertake any training necessary to gain and expand knowledge).
  • Excellent communication, administration, and time management skills.
  • Good IT abilities including MS Office (Word, Excel, and Outlook).
  • Ability to identify and resolve problems.
  • Ability to manage and prioritise jobs.
  • Good organisational skills with attention to detail and a professional mindset.
