HR and Operations Assistant

We currently have three offices located in Crouch End, Islington and most recently Hampstead which opened in May 2024. This year is going to be a busy and exciting year for David Astburys team as the business reaches new heights.

What you'll be doing:

Human Resources Tasks

  • Support with admin tasks during recruitment process, such as collecting applicant ID's and POA prior to contracts going out, arranging interviews, etc.
  • Support with onboarding process for all new starters i.e., phones, computers, emails, Jupix. Area, printers, Headshot pictures, new starter forms, etc.
  • Email all new starters to create their website bio and liaise with external marketing company to update the website with their headshot.
  • Remind Heads of Departments' weekly regarding team members birthdays
  • Remind Heads of Departments weekly regarding upcoming staff reviews
  • Send out Employee surveys - 1 to 2 times a year
  • Keep Absence and Birthday spreadsheets updated
  • Support with any employee relation issues
  • Taking minutes during formal meetings when required

Business Operational Tasks

  • Responsible for all letters for all branches. Letters scanned into you, for you to action appropriately.
  • Responsible for dealing with all utility bills for the offices within the group.
  • Keep our company car records up to date.
  • Deal with car documentation (declarations/check-in/out forms, permits, congestion, spreadsheets etc)
  • Oversee Parking Fines for monthly deductions to wages.
  • Order all company stationery and stock on the company card.
  • Track credit card expenses accordingly.
  • Track, update and process HOD's monthly expenses.
  • Act as David Astburys Social Secretary and deal with all social events, across the calendar year i.e. Trips, Xmas Parties, and Socials.
  • Record Google Analytics each week on a Monday.
  • Record Market Share Report every 1st of the month for Sales Director.
  • Organise venues and prepare content for companywide Vision Days.
  • Deal with all utilities and council tax for Stuart Cresent and Wood Green Properties.
  • Deal with IT issues upon George's instructions, not for offices or staff requests.
  • Deal with any other ad hoc operational requests

Office Management Tasks

  • Oversee Islington stock, stationary and office presentation.
  • Oversee any group emails.

Executive Assistant Tasks

  • Book or organise personal or business requests for Directors.
  • Support Directors with their day-to-day responsibilities

Marketing Tasks

  • Support the Marketing team on events and prep work
  • Assist Marketing with Community Events and the logistics
  • Assist Marketing Department with any of their needs
  • Brand Awareness and Sponsorship opportunities for both Islington and Crouch End
  • Respond to Google Reviews & passing over to HOD's when a review comes in

Essential Requirements

  • 2 years' experience in HR and Operational role
  • CIPD qualified or working towards this
  • Outstanding communication skills - both oral and written
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Great organisational skills and attention for detail
  • Good administrative skills
  • Proficient with Microsoft Office
  • Ability to meet deadlines and juggle multiple tasks while remaining calm under pressure
  • Happy to participate in community led events
