Our client a well-respected and reputable membership body based in Haywards Heath, West Sussex is currently looking for an Events Officer working on a hybrid basis or be based at their offices in West Sussex full time.

The Role of Events Lead

Key responsibilities

As the Events Officer, you will provide essential support to the marketing and events team by leading on the delivery of in-person events, including conferences, exhibitions, regional meetings and workshops, as well a programme of virtual events.

The Events Officer will work closely with other colleagues across internal teams to deliver events that meet the needs of our membership and the objectives set out in the Membership's strategic plan.

Specific capabilities:

Lead responsibility for logistics and processes to ensure successful delivery of the Association's events

Ensuring all event pages on the website are regularly reviewed and updated

Working with event suppliers and stakeholders to ensure the seamless delivery of each event

Monitoring sign up numbers in the lead up to each event and working with the Marketing Manager to create and deliver targeted marketing to increase attendance if necessary

Ensuring regular and timely event communications to delegates

Working with relevant colleagues to support the creation of engaging programme content

Managing speaker logistics and attendance arrangements

Managing exhibition sales, bookings and enquiries

Supporting logistics planning for the Membership's stand at Parkex and the seminar theatres

Supporting Membership's attendance at external events

Collaborative team working

The post holder will be expected to work flexibly, supporting the wider team and/ or office in achieving the Membership's wider strategic objectives

Support other members of the account management team as required

Undertake project work when required

Person Specification:

Essential:

Highly organised

Able to set up and develop effective processes and systems

Articulate, with excellent written and verbal communication skills

Able to work on own initiative and comfortable with ambiguity

High level of attention to detail

Strong planning capabilities

Confident and assured manner and able to liaise with individuals at all levels

Able to organise workload under pressure and meet tight deadlines

Willingness to travel. Please note this role may require occasional overnight stays

Desirable:

Event management experience and/or qualification

Experience of using e-marketing tools (e.g. Brevo)

Experience of using workflow systems (e.g. Monday.com)

Experience of report writing

Experience of working with a membership organisation

Experience of editing web content
