Senior Project Administrator - one year fixed-term contract

We are seeking an enthusiastic individual to join our client's well-established, ever-growing team to assist with the effective delivery of working groups projects. This is a one year fixed-term contract, with every possibility to go permanent for the right person. You will be responsible for the planning and organising of project meetings, ensuring timelines are met and publications sent out on schedule, as well as taking minutes and distributing them, sending out of surveys for feedback, planning subsequent meetings and invites - this is a busy and varied role with often tight deadlines to meet.

Ideally, we are looking for someone who can start at the beginning of September.

Salary is £29-31,000 per annum, dependent upon experience. Hours are 9am to 5pm, Monday to Friday, with the occasional need to stay a bit longer - eg until 530pm, if that is when a meeting is finishing, but on these occasions you will either start work later or claim the time back in toil. This is a hybrid position, where you will be working from home mostly, but must come into the office, which is based in Broadstairs, once a month. Those candidates living in Kent will be looked upon favourably. Benefits include 25 days holiday, plus bank holidays, NEST pension and hybrid working.

The role

  • Inducting new project members
  • Setting agendas and updating meeting invitations
  • Producing minutes of meetings
  • Drafting presentations
  • Present information at meetings and provide updates
  • Maintain the Welcome Pack and other documents
  • Produce surveys and distribute accordingly
  • Promote events and initiatives
  • Monitor the working group inbox, passing on messages
  • Supervision of Project Assistants while coordinating workloads
  • Provide guidance and training as required
  • Handle probation and performance reviews
  • Collate content for mailshots and social media
  • Work with Designers to create publications and deliverables

About you

  • Excellent knowledge and experience of using all Microsoft Office applications and IT literate
  • Ability to take minutes
  • Excellent communication skills, both verbal and written
  • Experience of supervising a team
  • A strong attention to detail and excellent time management skills
  • Passionate and enthusiastic about delivering on time, every time and able to meet deadlines
  • Highly organised and able to follow processes
  • Confident to present information in a group meeting situation

This is a hybrid working role and travel to Broadstairs in Kent would be required for training and in-person office days.
