Admin Team Manager

Our client is looking for an Admin Team Manager to work closely with the Head of Department. As an Admin Team Manager, you will need oversee the administrative function for the department and support staff to ensure all processes and procedures are followed. The Ideal Admin Team Manager will have great attention to detail and be a team player.

Key Responsibilities:

  • Prepare agendas, meeting minutes, and data for departmental meetings.
  • Manage the HOD's diary and coordinate scheduling.
  • Provide administrative support in processing complaints.
  • Prepare WIP (Work in Progress) sheets by the 12th of each month.
  • Collect updated billing information in preparation for the billing cycle.
  • Liaise with the Accounts team regarding data, including forecasts and billing (where applicable).
  • Conduct administration meetings and report feedback to the HOD.
  • Lead monthly departmental business development meetings and report to the HOD and Business Relationships Manager.
  • Ensure the business development plan progresses, including scheduling meetings and follow-ups.
  • Assist in achieving departmental objectives:
  • Reduce aged debt and collaborate to resolve issues.
  • Ensure WIP accuracy and perform write-offs when needed.
  • Collaborate with support staff to ensure active file closures and archiving.
  • Assist with answering incoming calls.
  • Support the HOD in implementing departmental projects and initiatives.
  • Conduct audits of data stored on internal systems.
  • Comply with internal and external regulatory requirements.
  • Identify and suggest areas for process improvements and efficiency gains.
  • Provide general administrative support to the HOD as needed.
  • Perform ad hoc administrative duties across the department, including holiday cover

Experience and Skills Requirements

  • Previous experience in similar role desirable
  • Highly organised
  • Strong attention to detail
  • IT literate
  • Excellent written and verbal communication skills
