MTrec Commercial are proudly representing our prestigious manufacturing client, based in County Durham, with their plans for growth and expansion, by recruiting a permanent PA/Office Administrator to join their team. You will be joining a fast-paced, dynamic company, with an excellent team-based culture. The Role you will be doing;

  • Provide the first point of contact for VIPs from the company's head office in Europe as well as key customer visits for the Senior Management Team and Director.
  • Deal with highly confidential issues with discretion, recognising the sensitivity of such matters and ensuring appropriate liaison with managers and other internal and external colleagues.
  • Set up and/or co-ordinate business meetings both internally and externally, including preparation of agendas, distribution of minutes and papers, progressing actions and making the
  • administrative arrangements such as travel, accommodation, refreshments, and anything else required for the visitors to the site etc.
  • Ensure that travel arrangements are made to make the best use of the Directors time and that the most cost-effective bookings are made, with value for money and environmental sustainability
  • as key considerations.
  • Manage office supplies and equipment, including ordering and inventory management.
  • Help promote and embed the company's vision, aims and strategy across the business understanding the role you play in setting tone and office culture and set a strong example through your own conduct.
  • Be responsible for the organisation and support of a variety of events where the Director and/or other members of the Senior Management Team are involved.
  • Implement and maintain efficient office procedures, business processes and systems.
  • Interact professionally and confidently with all levels of the organisation.
  • Work collaboratively with other departments to ensure consistency in process.
  • Work calmly and efficiently under pressure and to deadlines.
  • Demonstrate an ability to identify and recommend business improvements.

About you;

  • Proven experience as a PA/Office administrator or you may have held an office management type role and carried out most of the duties above.
  • Experience working with senior management, directors, and key customers.
  • You will possess great attention to detail, ensuring any arrangements, plans and overall hospitality to important visitors to the business are delivered to a very high standard.
  • Substantial experience of working with Microsoft Office software.
  • Ability to prioritise and manage multiple projects at one time.
  • Confident in building relationships with key contacts, beneficiaries, and partners.
  • Flexible, self-starter who is able and willing to support a wide range of activities and solve any problems that arise.
