Overview:

We are seeking a highly organized and proactive Senior Administrator to provide comprehensive support to a senior leadership team. This role is essential in ensuring the smooth operation of executive functions and delivering high-quality administrative services across departments.

Key Responsibilities:

  • Manage multiple email inboxes, prioritising messages, tracking actions, and ensuring timely responses.
  • Maintain and update action logs for senior leaders to support effective follow-up and accountability.
  • Coordinate complex calendars and diaries, including scheduling internal meetings, external engagements, and events.
  • Organise travel arrangements and itineraries in collaboration with relevant stakeholders.
  • Support financial processes such as raising purchase orders and processing expense claims.
  • Prepare and distribute meeting materials, manage logistics, and take accurate minutes.
  • Plan and coordinate internal and external events, ensuring all details are managed efficiently.
  • Draft, edit, and manage a variety of documents including correspondence, reports, and presentations.
  • Provide cover for other administrative team members as needed.
  • Collaborate with colleagues to support the broader needs of the leadership team.

Additional Support Areas:

  • Assist with the organisation of meetings involving multiple stakeholders.
  • Support event planning, including venue sourcing, logistics coordination, and attendee communications.
  • Take professional minutes during meetings, either live or from recordings, and produce clear documentation.

Skills & Qualifications:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe.
  • Experience with virtual meeting platforms such as Zoom and Microsoft Teams.
  • Strong diary and time management skills.
  • Proven ability to support meetings and take accurate minutes.
  • Excellent written and verbal communication skills.
  • Ability to draft professional correspondence and reports.
  • Proactive and solution-focused approach to administrative tasks.
  • Strong organisational skills and attention to detail.
