A leading social housing provider is looking for a Facilities Assistant/Receptionist to join their team on a temporary basis. The ideal candidate will play a key role in delivering service excellence, ensuring that our customers and the business have access to high-quality workspaces. This role is essential in supporting the Workspace Services Coordinators to create a safe and secure environment for our colleagues.

Day to Day of the Role:

  • Serve as the onsite primary point of contact for building experience, managing post, telephone calls, stock levels, and queries.
  • Maintain accurate reception, contractor, and visitor management systems within designated buildings.
  • Conduct building inductions for colleagues, contractors, and visitors.
  • Perform general clerical duties including printing, mailing, laminating, and filing.
  • Process hotel and travel requests using the Click Travel system, in line with company procedures.
  • Handle Workspace Services helpdesk requests through Service Now, ensuring adherence to service level agreements and company processes.
  • Support Workspace Services Coordinators with the management of job requests and health and safety investigations.
  • Use company systems for raising purchase orders and processing associated invoices.
  • Assist in maintaining department records and matrices.
  • Manage all incoming and outgoing post and deliveries as per company processes.
  • Maintain access control systems and ensure notice boards and poster communications are current and meet brand guidelines.
  • Order and maintain stock for the Workspace Services Team.

Required Skills & Qualifications:

  • Proven experience in a customer-focused administrative support role.
  • Excellent organisational and clerical skills.
  • Strong communication and interpersonal abilities.
  • Familiarity with office management systems and procedures.
  • Knowledge of health and safety regulations.
  • Ability to work independently and as part of a team.
  • A commitment to upholding high standards of health and safety in the workplace.
