Executive Assistant

  • The EA has people management responsibility for other roles deemed appropriate by the AVP, such as evening receptionist, including but not limited to:
  • Assigning tasks and ensuring completion within appropriate deadlines.
  • Managing performance on a regular basis and in line with the University's equality policies.
  • Ensuring an effective handover before and after each shift.
  • Providing training and mentoring when required
  • Any recruitment needs.
  • Executive Assistant
  • An exceptional communicator, both in written and verbal communications. Previous experience of communication with Executive / Board level employees is essential.
  • Experience as an Executive / Personal Assistant with demonstratable experience in scheduling and arranging logistics for meetings, including but not limited to Board meetings, Trustees meetings, Campus staff meetings, and Committee meetings.
  • Coordinate, organise and schedule a number of internal / external meetings that require the AVP's attendance, assembling all relevant documentation.
  • Prepare meetings agendas, manage minutes, identify and bring forward any items for upcoming meetings.
  • Advise, recommend and manage the Associate Vice President's schedule.
  • Assist the AVP in monitoring the HR management platform, such as Sage.
  • Arrange travel bookings for the AVP.
  • Acknowledge general correspondence and forward to appropriate department/personnel, answering where appropriate
  • Ensure that all messages and information are directed to the appropriate personnel
  • Complete weekly calendar and residents list

Stationery and Merchandise

  • Own stock check process for all necessary stationary items
  • Responsible for marketing and sale of Campus merchandise, using innovative ways to upsell this whilst aligning with the University's brand.

Health & Safety

  • To ensure all first aid box checks are completed each month and ensure stock is replenished quickly.
  • Act as the fire safety officer
  • Arrange for fire drills to be completed each semester (with other fire safety officers), reviewing and providing a plan for further action.

Guests & Visitors

  • Meet and greet guests & Visitors, providing a comprehensive overview of the University where required.
  • Arrange porterage as required
  • Control of petty cash in relation to reception
  • Ensure visitors rendezvous with appropriate personnel and sign in/out
  • Making tea/coffee, ensuring supplies are replenished
