Annual Salary: circa £37,000 to £39,000

The Office Manager will be overseeing the provision of an efficient and effective administration service to colleagues which enables the organisation to provide the highest levels of service to the members and clients. Reporting to the Head of Finance & Operations, the successful candidate will take on a diverse range of duties and responsibilities to support the various divisions of our organisation, as detailed below.

Main duties and responsibilities

  • Line manager to the administration team, overseeing efficient administrative processes and controls and deployment of staff resources
  • Supporting the organisation's recruitment, leading the administrative processes related to recruitment, new starter induction, staff benefits and welfare, working with colleagues across the organisation as required
  • Maintaining collaborative and productive working relationships with the groups' organisation, Marketing & Communications and Business Insight, to ensure the teams are fully supported in all areas of administration (including client and member communications, new member onboarding and support, ownership of shared mailboxes and central phone calls, internal and external meetings support, proof reading, data processing, associate consultant contract renewals, and much more)

Essential

  • Previous office management and / or HR management experience (3+ years)
  • Previous line management experience (3+ years)
  • Knowledge of basic HR procedures and administration
  • Knowledge of contractual basics surrounding HR, data sharing and client contracts
  • Excellent written and verbal English, with the ability to present accurate material for a range of audiences
  • Highly developed IT skills, including word processing, spreadsheet, presentation packages and O365 tools including Teams and Sharepoint
  • An exceptionally high level of attention to detail
  • Ability to build and maintain excellent working relationships with colleagues and external clients of all levels
  • Excellent organisational and time management skills, with the ability to prioritise effectively to meet deadlines, working methodically and autonomously
  • Ability and desire to learn new concepts, practices, and software with the appropriate guidance and support
  • An understanding of the key principles of Information Security, Data Protection and GDPR
  • Absolute discretion and trustworthiness
  • A commitment to continuous improvement in all that you do
