Key Responsibilities:

  • Support the initiation of client matters, both manually and through various digital systems.
  • Assist in the preparation and distribution of quotes for legal services.
  • Verify client identification and ensure accurate records.
  • Manage the distribution of client care documents, checking all incoming and outgoing documents for completeness and accuracy.
  • Ensure compliance with internal and external service standards for all referred and introduced work, staying informed on relevant compliance issues.
  • Engage in required training and take responsibility for ongoing professional development.
  • Maintain the confidentiality of all client documentation and information.
  • Provide administrative support for the Team's conveyancing matters, including tasks such as photocopying, filing, and retrieving client files.
  • Utilize the case management system to perform tasks assigned by team members, including document preparation, conducting searches, and reporting on search results, following company procedures.
  • Help maintain up-to-date and accurate case management files to ensure the system remains proactive and complete.
  • Answer and make telephone calls professionally and courteously, recording detailed electronic notes, and progressing cases as appropriate or as directed.
  • Perform any additional reasonable tasks as required.

Experience and Skills Requirements:

  • Excellent written and verbal communication skills, with the ability to interact effectively with a diverse range of individuals via email, telephone, and in person.
  • Strong time management skills, with the ability to perform well under pressure and meet deadlines in a fast-paced, high-volume environment.
  • Previous experience in conveyancing is advantageous.
  • Proficient in using a variety of digital tools and eager to adopt and support technological advancements.
  • Ability to manage fluctuating workloads efficiently.
  • Strong teamwork skills and the ability to collaborate effectively with colleagues.
