  • Salary: £30- £32k (DOE)

We are seeking an Office Manager to support our Operations team in the day-to-day delivery of its work. The successful candidate will be an integral part of the team, performing a variety of multifaceted tasks to ensure the smooth running of the business operations. This role is pivotal in providing an efficient, comprehensive administrative service and bridging the gap between front office and back office functions.

Day to Day of the role:

  • Manage business and fleet insurance, including service, MOT, and maintenance of the fleet of vehicles.
  • Monitor utility costs, ensuring the best deals with suppliers for electricity and water.
  • Oversee company mobile and office phones, premises maintenance, repairs, and management.
  • Ensure compliance with Health & Safety and Fire regulations in the office.
  • Manage alarms and door entry systems.
  • Establish and maintain procedures for the efficient running of the office.
  • Handle fixed asset management, including additions and disposals.
  • Support the Operations Director with training arrangements for engineers and maintain a training matrix.
  • Obtain qualification certificates, ECS cards, and conduct screening/CRB checks for engineers and service providers.
  • Process orders and update customers on shipping, and manage asset disposal reports.
  • Liaise with suppliers and arrange shop order shipments, supporting project managers and service delivery management.
  • Arrange travel and hotels for overseas projects and provide quotations for shop orders and materials.
  • Provide high-level support to directors, manage key appointments, travel arrangements, and maintain communication with key partners and stakeholders.
  • Organise client entertainment events and manage social media updates on platforms like LinkedIn.

Required Skills & Qualifications:

  • Experience in a similar administrative support role within an operational team.
  • Well-organised with the ability to plan, prioritise, and deliver within agreed timelines.
  • Proficient in Microsoft Office Suite (Teams, Outlook, Word, Excel).
  • Excellent verbal and written communication skills.
  • Ability to work effectively as part of a team in a small organisation.
  • Motivated to learn and develop in the role.
  • Strong coordination and administrative skills with the ability to multi-task.
  • Detail-oriented with strong analytical and problem-solving skills.
