We are seeking an Accounts Administrator to join the Finance department of our client in Huntingdon. This role is pivotal in raising orders, managing and coordinating shipments, and overseeing the accounts payable and receivable ledgers. The successful candidate will be adept at processing invoices and orders, coordinating shipments, and communicating with various stakeholders regarding sales orders, shipments, payments, and invoice queries.

Responsibilities

  • Maintain the Accounts Receivable ledger by processing receipts, raising invoices, taking payments, and issuing credit notes.
  • Post invoices to the ERP System and match them to corresponding GRNs via the automated AP System.
  • Process payments in the AP Module and post direct debits and other bank payments into the general ledger.
  • Respond to inbound AP and AR enquiries and send collection statements.
  • Work closely with the sales team to ensure efficient invoicing and debt collection.
  • Schedule and coordinate UK & International shipments, including preparing and submitting documents for customs clearance.
  • Liaise with Sales, Production, Warehouse, and Accounts teams to ensure timely shipment and invoicing of products and parts.
  • Manage order fulfilment and transportation activities, working with couriers and the warehouse team to meet agreed timelines and standards.
  • Process orders, allocate stock, raise Purchase orders, and send production orders.
  • Collaborate with the Sales team to manage stock allocation, shipments, and order lead times.
  • Review shipping documents to ensure correct paperwork is in place for all transactions.
  • Distribute supplier invoices for managerial approval.
  • Perform other reasonable administrative duties as required.

Required Skills & Qualifications:

  • Accounts Payable & Receivable.
  • Experience with customs and international shipment coordination.
  • Proficiency in managing the sales order process from order placement to delivery.
  • Familiarity with ERP systems (Syspro 8 and/or Salesforce experience beneficial).
  • Excellent prioritisation skills and the ability to remain calm under pressure.
  • A team player with outstanding communication, organisational, and administrative skills.
  • Keen attention to detail and comfort with numerical tasks.
  • Ability to develop effective working relationships both internally and externally.
  • Capable of working under pressure and on own initiative.
