Project Administrator - Permanent Opportunity in Gateshead!

Office Angels are seeking a proactive Project Administrator to join our clients team. Reporting directly to the Business Director, you'll collaborate with the project management team to ensure efficient and organised project support.

  • Hours: Monday to Friday, 8:00 AM - 5:00 PM (30-minute unpaid lunch, two 15-minute unpaid breaks), full office based

Job Purpose:

To provide comprehensive administrative support to the project management team, ensuring that all processes are maintained smoothly and efficiently.

Key Responsibilities:

  • Set up CRM projects and generate work completion certificates
  • Execute sales order contracts
  • Arrange pre-start meetings, prepare documentation, and issue minutes
  • Raise all project and sub-contractor purchase orders and maintain logs
  • Handle stock material requests and replenishment
  • Manage the administrative process for all projects within the team
  • Update programmes and project requirements
  • Create, print, and distribute site files for the Project team
  • Assist with compliance, management, and closure of key stages and documentation
  • Raise sub-contractor payment certificates for Project Manager sign-off
  • Address invoice queries and manage project documentation
  • Control system updates and uploads
  • Produce weekly cost reports for all projects and track profitability
  • Organise surplus material returns to suppliers
  • Create and manage project files
  • Scan and file all project returns
  • Maintain business logs and manage shared inboxes
  • Handle incoming project enquiries

Technical Competencies:

  • Proficient in Microsoft Office applications and various specialist software
  • Enthusiastic, fast learner with a strong commitment to excellence
  • Able to work efficiently in a fast-paced environment while maintaining accuracy
  • Strong verbal and written communication skills, capable of interacting with various departments and external contacts
  • Highly organised, with excellent time management and the ability to meet deadlines
  • Self-motivated and able to work independently

Experience Required:

  • Proven experience in a strong administrative role
  • Experience working in a fast-paced environment
  • High-level communication skills, both face-to-face and over the phone
  • Experience in project administration or a related sector is desirable, but not essential
