We have an exciting opportunity for a Contracts Administrator to join our Optima North team in Manchester.

Providing administrative support to the contracts team and overseeing the department's activities and operations, key responsibilities for this role include:

  • Providing general office administrative support to the Divisional Director and wider team.
  • Scheduling meetings, producing agendas and taking minutes
  • Printing drawings & contracts
  • Preparing orders and payments to sub-contractors
  • Preparing sub-contractor variations
  • Maintaining and accurately updating databases
  • Printing drawings & contracts
  • Diary management and arranging appointments
  • Proof reading documentation
  • Typing, preparing and collating reports
  • Establishing and maintaining an efficient filing system
  • Entering new non specified project enquiries onto Company database
  • Downloading tender drawings to the Company database
  • Following up on all projects with assisting with compiling O&M files and job start files
  • Scanning of completed site files to Company database
  • Chasing all project teams to obtain Customer Satisfaction Questionnaire's
  • Uploading completed CSQ's and completing the relevant performance CSQ section in Company database
  • Updating relevant sections on Company database once final accounts have been agreed
  • Ensuring all divisional timesheets are completed on time
  • Updating the general/front page and financial section in Company database after year end
  • Assisting with arranging travel/accommodation for staff

Skills Required:

  • Administration experience
  • Positive, confident and friendly attitude
  • Excellent verbal & written communication
  • Ability to stay calm under pressure and work to tight deadlines
  • Able to manage multiple tasks
  • Good organizational skills and attention to detail
  • Experience in Microsoft Packages (Outlook, Excel, Work, PowerPoint)
  • Minimum 5 GCSE's A- C grade including Math's and English

It is preferable for candidates to live within a commutable distance to our offices at in central Manchester. Hours: Monday to Friday 8.30am - 5.30pm (40 hours per week).
