Location: London

Hours: 9.30am - 6.00pm (Mon - Fri)

Salary: Up to £35k (doe)

Working in the live events/concert touring industry, we are looking for a Project Coordinator to support the Project Managers to ensure ensuring everything runs as smoothly as possible behind the scenes.

Working closely with the Project Managers primarily to manage the practical application of each project from quotation to delivery, including building strong working relationships both internally and externally.

Responsibilities:

  • Proactively manage all project administration tasks within specified deadlines.
  • Support team members to ensure that all projects are correctly administered, and deadlines met.
  • Work with the Project Manager to deliver all key tasks within agreed deadlines and to budget.
  • Maintain an accurate and detailed tour schedule. Managing equipment required for a project.
  • Ensure that the equipment assigned to a project fulfils the lighting and rigging plots as specified by the client.
  • Maintain equipment management system on a timely basis. Notify changes of equipment to warehouse teams and crew.
  • Work with the project team members to make sure that all projects are adequately crewed.
  • Raise purchase orders timely, accurately and in line with PO process
  • Raise quotes based on clients' requests and ensure that all associated costs are included.
  • Liaise with finance team to ensure billing is timely and accurate and that project costs are reconciled.
  • Demonstrate care and attention to detail by attending gigs where possible.
  • Build relationships with clients.

Skills & Experience

  • Experience or within live events/ Theatre /Film/ Lighting rental
  • Expert knowledge and use of a Stock Management System
  • Autonomy but must also be an excellent team player.
  • Must be able to take ownership and accountability.
  • Excellent written and verbal communication.
  • Able to work under pressure and to tight deadlines.
  • Knowledge of Microsoft Outlook, Word, and Excel.
