Business Services Co-ordinator

Posted by National Trust.

Summary

We're looking to recruit a Business Services Co-ordinator to join us at the National Trust on a fixed-term basis. The People and Business Services Directorate is key to the delivery of our organisational strategy and you'll be seen as an essential part of its success. As a member of the Business Services team, you will pride yourself on delivering first class administrative support, sharing best practice, as well as your own knowledge and ideas.

Professional and customer focused, you'll be working with colleagues at central office and across the Trust in different disciplines, sharing knowledge and offering support and administrative skills.

What it's like to work here

We're bigger than you think, we're more complicated than we appear, and we're larger scale than you'd imagine. We've got passionate people in all our teams, and we've got so much more we want to achieve.

Your contractual location will be our head office in Swindon. Due to the nature of the role, you'll be expected to attend the office 5 days a week (Monday to Friday).

What you'll be doing

You'll be supporting a team that provides essential management of the Trust's knowledge and information, providing Archives and Records services across the organisation.

You'll be liaising with customers for paper records – completing box orders, supporting cataloguing and retrieval of records requests. You'll look after and process physical records or library material held at Heelis using cataloguing systems. You'll also offer support for electronic filing using SharePoint.

You'll be monitoring inboxes: over time growing your skills to answer queries and triage more complex requests. You'll support the management of the work of our volunteers and assist with the opening and running of the library, issue and return of books and other library materials.

Who we're looking for

You can view the full role profile for this role in the document attached. You don't need to have all the knowledge, skills and experience listed in the role profile; this is just to provide a full picture of what is possible in this role. We'd love to hear from you if you have:

  • Relevant administrative experience
  • Written and verbal communication skills, you'll be communicating with a variety of stakeholders
  • A love for being part of a high performing team
  • Strong customer service skills
  • The ability to multi-task and prioritise own workload
  • Organisation skills with strong attention to detail
  • IT Skills – you'll be using Office 365 packages such as Word, Excel, SharePoint and Outlook each day
  • An interest in the work of a Records & Archive team
