Project Coordinator/Operations Administrator

This is a great opportunity to join a long established, and continually growing trusted family business in the position of Project Coordinator.

The role would suit someone with strong organisation skills, and who has maybe undertaken Senior Level Administration or Operations duties within a fast paced environment. Experience within the trades industry could also be beneficial, but all backgrounds will be given equal consideration. Full training and hand over will be provided to get you up to speed, and you will have full access to the person vacating the role.

Most importantly, you will require good organisational and time management skills, and be able to work diligently, dealing with multiple quotes and queries, in what can sometimes be a fast paced environment.

It is a nice role, where no two days are the same, and everyone works closely together in a friendly environment.

You will also have the opportunity to make the role your own over time, making process improvements along the way, to benefit you, the company and the customers.

Job Overview:

The Project Coordinator will support the Company Director in overseeing projects from initiation through to completion. This role involves coordinating with clients, suppliers, and internal teams to ensure that all project requirements are met on time and within budget. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  • Project Planning and Scheduling:
  • Assist in the development of project plans, timelines, and schedules.
  • Coordinate with clients to gather project requirements and specifications.
  • Schedule and attend project kick-off meetings, ensuring all stakeholders are aligned.
  • Job quotes/ordering materials/coordinating tradesmen calendars.

Communication and Coordination:

  • Serve as the primary point of contact for clients, suppliers, and subcontractors.
  • Facilitate regular communication between internal teams, including sales and operations
  • Ensure all parties are informed of project progress, changes, and any issues that arise.

Documentation and Reporting:

  • Maintain comprehensive project documentation, including contracts, schedules, and status reports.
  • Track project milestones and deliverables.

Resource Management:

  • Coordinate the procurement of materials and supplies necessary for project execution.
  • Work with suppliers and subcontractors to ensure timely delivery and adherence to quality standards.
  • Liaise with Office Manager in managing project budgets and controlling costs.

Quality Control and Issue Resolution:

  • Monitor project progress to ensure it adheres to the scope, schedule, and quality standards.
  • Identify and address any issues or discrepancies promptly, escalating to the Company Director as necessary.
  • Conduct post-project evaluations and create reports to identify areas for improvement

Qualifications:

Education and Experience:

  • Knowledge of Business Administration, Construction Management, or a related field preferable but not essential.
  • Experience in project coordination, preferably in the construction or trades industry.

Skills:

  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in project management software and Microsoft Office Suite (Word, Excel, PowerPoint). Management of SimPro software (Trades CRM) an advantage but training given.
  • Ability to work independently and as part of a team.

Other Requirements:

  • Detail-oriented with a strong commitment to quality and accuracy.
  • Ability to handle multiple projects simultaneously and meet deadlines.
  • Flexibility to adapt to changing project requirements and priorities.

Working Conditions:

  • This is an office-based position based with occasional site visits as required.
  • Standard working hours are Monday to Friday, 9:00 AM to 5:00 PM, with potential for overtime during peak project periods.

Benefits:

£20.00p/h = £41,600p/a
