Assistant Development Manager, Luxury Residential - West London

Our client is currently seeking for an exciting Assistant Development Manager poisiton based within a luxury residential building in West London

Salary - up to 36k per annum

Hours - Monday to Friday 9am - 5:30pm

This role reports to the development manager and has a team of up to 4 direct reports and 30 indirect reports.

Main Responsibilities

  • Identify and deliver on-going training needs to support the team, utilising appropriate internal and external methods and support as well as conduct frequent reviews with direct reports providing constructive feedback and coaching, ensuring KPI's and SLA's are met.
  • Monitor performance, setting guidelines, managing holiday / sickness absences and organise shift cover, undertaking or organising emergency cover as required.
  • Assisting with the drafting, control and reporting of the service charge budget and expenditure for the development.
  • In conjunction with the development manager, participating in all customer / contractors and client meetings, ensuring issues are promptly administered and dealt with within the agreed timeframes. - Effective liaison with customers on a daily basis, attending to any issues and enquires and ensuring matters are resolved.
  • Undertake required risk assessments, health and safety checks and routine testing requirements ensuring concerns are acted upon and completed within the given timeframe.
  • Support with the monitoring and supervision of contractors, carrying out works on and around the development.
  • Raising of works orders and ensuring all orders are monitored and delivered within the designated time frame. Ensuring reactive/planned works are conducted to a high quality.
  • To ensure all irregular incidents are investigated and reported to the development manager. To provide a response to emergency queries (out of normal office hours) directing colleagues as appropriate including attendance where necessary.
  • Carry out regular inspection audits of the site and take/organise remedial action if and when required, ensuring the fabric of the building both externally and inter
  • Responsible for overseeing reactive maintenance and where necessary, ensuring that job orders are raised appropriately before sending contractors to site, whilst keeping the customer informed.
  • Promote customer service excellence through leading by example and always ensure the best customer experience is provided.

Objectives

  • Liaise directly with Line Manager as necessary to progress any task, project and meet deadlines.
  • Continually seek value for money by obtaining quotes from several contractors and sourcing local contractors to site, working with residents on site to ensure that all expectations are met.
  • Creating contract orders and signing contracts being cautious of s.20 regulations
  • Set/communicate leaseholder and resident meetings, ensure that minutes are kept and sent to everyone within a suitable time frame from the meeting, no longer than one week.
  • Prompt and cost-effective maintenance of individual portfolios.
  • Ensure all activities are compliant with current legislation and best practice.
  • To attend external training events for progression.

Technical skills

  • Excellent understanding of the residential property sector, having worked in a similar role previously
  • Sound knowledge of building fabrics and maintenance
  • Experience or exposure to serving section 20 notices and understanding of major work projects
  • Good understanding of service charge budgeting
  • Confident, an articulate communicator with the ability to build and maintain strong relationships
  • Ability to communicate with a range of people across different levels and show assertiveness when - required to get work completed
  • Good knowledge of property management systems and the ability to pick up new systems quickly - Exceptional IT and computer skills
  • Exceptional customer service experience, with the ability to work multi-task, prioritise and manage - various task simultaneously
  • Charismatic, with the flair to learn new skills and enhance self-development and better those around you

Personal effectiveness

This role will require the ability to plan workloads, to work unsupervised, and to have a flexible approach. This person should have good communication skills, both verbal and written.

As a key member of the team this candidate should have the ability to react to the day's events in an effective, friendly and consistent manner providing support and assistance where necessary.

They should be willing to participate fully in the running of the department, assisting with problem solving where necessary. The ability to adapt to changing requirements and procedures arising because of improvements in technology and new operational systems is essential, as is willingness to undertake training as deemed necessary.
