The Role
Travail Employment Group are proud to seek an Information Services Coordinator for our client; a well-established educational provider based in the Wrexham area. Our client is seeking a highly resourceful candidate with proven experience to assist the procurement and finance departments and wider team.

Duties of an information Services Coordinator:

  • Maintain knowledge of relevant procurement frameworks and agreements, ensuring all procurement and financial activities are in line with requirements.
  • Assist with the procurement of specialist goods and services and help with documentation to support tenders, contract awards, mini competitions, contracts etc.
  • Maintain a register of contracts including licenses, warranties, and maintenance agreements; check renewal dates, ensure contracts are reviewed, advise on any actions required and renew or cancel in a timely manner to minimise unnecessary expenditure
  • Develop and maintain relationships with suppliers, working with them to get best value, minimise delays, resolving supply chain issues and passing on information that may impact projects, or service delivery.
  • Maintain records of expenditure, attend monthly management account meetings and generate budgetary, planning and audit reports, as required.
  • Assist in the planning, coordination, monitoring and disposal of assets and licences.
  • Control and manage the asset registers and inventories to ensure accurate and up to date records.
  • Oversee office workload and take appropriate action to ensure continuity by ensuring that urgent matters are addressed in a timely manner.
  • Identify key performance indicators and contribute to the development and preparation of annual operating plans.
  • Coordinating activities in relation to the tracking and monitoring of Information Services Quality Assurance accreditation (Cyber Essentials, Customer Excellence), Service Quality Audits, Service Compliance, Operational Risk Management and Service Improvement Planning.
  • Effectively communications to stakeholders in a timely manner, particularly around operating changes, projects, improvements and service interruptions.
  • Co-ordinate and maintain emergency planning and business continuity plans.
  • Playing a proactive role in coordinating IT incident responses.

Essential Requirements

  • Qualified to degree level or proven work experience within an administrative service is essential.
  • Experience liaising and negotiating with 3rd party services and suppliers.
  • Knowledge and experience of public sector procurement processes.
  • Previous experience providing proficient support to senior colleagues within a busy office environment.
  • Proven excellent organisational skills with an ability to prioritise.
  • Strong interpersonal skills to build relationships with stakeholders.
  • High degree of initiative and self-motivated to proactively problem solve.
  • Experience of handling confidential information with discretion.
  • IT literate with knowledge in Microsoft packages.

Desirable Experience

  • Welsh speaking is desirable.
  • Customer Service qualification or training is desirable.
  • ITIL4 Foundation Certificate in IT Service management or equivalent is desirable.
