My client, a leading public sector organisation in Leeds, are looking for a dedicated Customer Service Administrator to join their Education Transport team. The role involves being the first point of contact for school bus services, handling enquiries from parents, schools, and bus drivers, and providing general administrative support. This position requires someone who can make real-time decisions, process applications, and manage travel pass appeals with a strong focus on data protection and safeguarding.

Day-to-day of the role:

  • Serve as the first point of contact for information on school bus services and disabled person's travel pass appeals.
  • Handle calls and emails from parents, schools, bus drivers, and customers, addressing feedback and complaints.
  • Relay Mybus primary school journey changes to the appropriate contacts and take necessary action.
  • Process new applications for Mybus services, maintain databases, and allocate pupils to correct bus services using mapping software.
  • Compile and issue pupil registers and manage correspondence related to Mybus terms and conditions.
  • Lead on Mybus private hire bookings, from enquiry to finalising bookings, negotiating with customers and operators, and raising invoices.
  • Maintain and update spreadsheets for the Education Transport department.
  • Provide live service updates via social media on school bus service delays.
  • Offer general administrative support to the wider Transport Operations team.
  • Correspond with disabled person's travel pass appeals applicants and advise on required evidence.
  • Use CRM systems to access application information and order travel passes.
  • Assess travel pass appeals against eligibility criteria and make recommendations on outcomes.

Required Skills & Qualifications:

  • Experience working within data protection legislation and maintaining confidentiality.
  • Knowledge of promoting and safeguarding the welfare of children, young persons, and vulnerable adults.
  • Strong customer communication skills to interpret needs and advise/act on suitable actions.
  • Good geographical knowledge of West Yorkshire.
  • Proficiency in Windows-based systems and experience with CoSA or similar service-based software packages.
  • Ability to create and update Excel spreadsheets, including basic formulas.
  • Competence in drafting clear and concise letters using standard templates.
