Firearms Licensing Administrator

Service Care Solutions are looking for a Firearms Administrator to work within the Cumbria Constabulary on a 6-month contract.

Location: Penrith

Job Role/Responsibilities:

  • To provide a comprehensive range of administrative support services as directed by the Firearms Licensing Team Leader, ensuring services are provided to the Constabulary and Firearms Licensing applicants through efficient working in the Firearms Licensing Unit.
  • Be conversant with and understand legislation, Home Office and NPCC FELWG Guidance relating to application processes and procedures for firearm and shotgun certificates and permits.
  • Act as an initial point of contact for all applications, emails, and telephone calls into the Firearms Licensing Unit. Review, allocate and respond appropriately, ensuring the information is passed to the appropriate team member where necessary.
  • Responsible for maintaining paper-based and electronic records, ensuring changes are accurately recorded, in a timely manner, in compliance with GDPR.
  • Responsible for the receipting of fees received for Firearms Licensing applications, payments being electronic and physical, providing management information as required in relation to income and liaising with the Central Services and Finance Departments as required.
  • Responsible for the time-critical receipting of all applications, including certificate grant and renewal applications, ensuring data is recorded on the NFLMS database accurately, in compliance with GDPR.
  • Responsible for the preparation of letters to applicants who have failed to comply with the requirements of the application process to ensure resolution of the identified issues.
  • Responsible for cancelling certificate records and scanning documents. Ensuring all firearms are accounted for and correctly transferred to new owners or updated to reflect they have been destroyed with all certificates recovered.
  • Responsible for processing changes of address, updating all records, liaising with relevant Firearm and Shotgun Enquiry Officers for security inspections to be completed and the re-issue of certificates.

Knowledge/Experience required:

  • Previous administrative and clerical experience.
  • Competent keyboard and ICT skills.
  • Good interpersonal skills and experience of dealing with members of the public.
  • Able to demonstrate high standard of accuracy and attention to detail.
  • Ability to work to targets and deadlines.
  • Ability to handle and carry firearms and successful completion of safe handling training course.
