General Overview of Contract Administrator:

The position entails providing administrative support, specifically focusing on a large contract. The role involves ensuring structured contract business delivery capability, developing key relationships, and implementing robust systems and processes to deliver Facility Management excellence for both the client and end-users.

Key Accountabilities of Contract Administrator:

  • Stakeholder Interface: Manage communication and processes with multiple internal and external stakeholders.
  • Service Agreement Support: Assist the account management team in consistently delivering high-level service agreements.
  • Business Improvement: Support various business improvement projects and initiatives.
  • Staff Administration: Manage attendance, sickness, absences, and annual leave for staff using SAP.
  • Recruitment Administration: Oversee the system for recruiting new staff for direct employees.
  • Onboarding & Vetting: Administer the onboarding and vetting process (to BS7858) for new starters, temporary workers, and sub-contractors.
  • Payroll Support: Assist in payroll administration, medical certificates, starter and leaver information.
  • SHEQ Administration: Manage the SHEQ process and system (AIMS) to ensure HSEQ contractual requirements and adherence to H&S policies and procedures.
  • KPI/SLA Meetings: Attend and manage KPI/SLA performance meetings with clients and subcontract providers.
  • Quote Administration: Handle the process for quotes for ad-hoc service requests.
  • Reporting Support: Assist the Account Management Team in producing client monthly/quarterly reports and record duties at contract review meetings.

Business Systems Administration:

  • Coupa: Raising POs, Goods Receipting POs, resolving invoice queries.
  • SAP: Submitting annual leave, sickness & expenses, raising ION for chargeable works, invoicing.
  • Planon: Ensuring site jobs are closed timely, raising Planned Preventative Maintenance and Reactive works, liaising with subcontractors to close down reactive and PPM works in accordance with SLAs.
  • Timesheet Reconciliation: Reconcile timesheets with chargeable invoicing and liaise with Payroll and management for query resolution.

Complexity:

  • Delivery: Ensure business systems and processes meet contract deliverables.
  • Customer Relationship Management: Ensure processes and systems lead to client satisfaction.
  • Qualifications or Required Experience:
  • Understanding of FM business or a similar environment.
  • Ability to work as part of a team and interact with clients and suppliers.
  • Excellent time management skills, capable of working to deadlines.
  • Working knowledge of MS Office, including Excel and Outlook.
  • Experience using Planon or a similar CAFM system.
  • Experience with business finance and administration systems such as SAP, Oracle, Coupa.
  • Previous experience working in a high-end, fast-paced environment.
  • Minimum GCSE Grade C in English and Maths.
