Burman are supporting a Higher Education client appoint an Executive Assistant on a permanent basis. The Executive Assistant will manage all aspects of supporting the Provost, including scheduling, managing the Provost's inbox, handling inquiries, arranging travel, processing payments, organizing events, and welcoming visitors. The role requires experience in executive support, excellent organizational skills, and the ability to work under pressure.

Key Responsibilities:

  • Schedule Management: Manage the Provost's calendar, prioritize their time, and coordinate meetings.
  • Inbox Management: Handle the Provost's official email, responding to and redirecting queries.
  • Inquiries: Respond to general queries via email, phone, and in-person.
  • Travel Arrangements: Organize domestic and international travel, including flights, accommodation, visas, insurance, and detailed itineraries.
  • General Arrangements: Book taxis, restaurants, and other services.
  • Financial Processing: Raise purchase orders, process claims, invoices, and receipts.
  • Office Support: Order supplies, handle IT and campus services issues.
  • Filing: Maintain accurate electronic and paper filing systems.
  • Event Coordination: Organize events hosted by the Provost, including venues, catering, AV equipment, and managing the event.
  • Visitor Reception: Welcome and direct visitors.
  • Governance Support: Assist the Executive Officer with committee services.
  • Additional Duties: Take on tasks as delegated by the Executive Officer and deputize when necessary.

Essential:

  • Experience supporting senior leaders in a large organization, managing schedules, correspondence, travel, payments, and visitors.
  • Experience working at all levels in a large organisation.
  • Ability to work independently with a proactive problem-solving approach.
  • Teamwork experience to balance responsibilities and provide cover as needed.
