The

Document Controller

is primarily responsible for the management of documentation requirements for Project Systems orders to ensure timely submittal and customer approval. Documents form a key deliverable for projects and their delivery and customer approvals are key to contractual commitments.

The role is a long-term contract position, issued in six-month extensions, and it requires 5 days a week in the office.

Main reponsibilities of the Document Controller:

  • Management of Document control system
  • Create and maintain the project SDRL.
  • Recording, checking and tracking all incoming and outgoing project documents. Ensuring appropriate personnel (including customers, internal teams & and sub vendors) are issued with up-to-date documentation.
  • Expedite all responsible parties (engineers, designers, project managers, customers, sub vendors etc.) to ensure timely generation and receipt of SDRL documents.
  • Document submittal and receipt processes
  • Collation of technical project documentation & merging of all electronic files into single IOM & MRB at project completion.
  • Update project manager on documentation issues affecting the project execution. Creating document status reports as / when required.
  • Review Project Purchase Order and Measurement Proposal
  • Identify project risks and advise Project Manager.
  • Adhere to specific client documentation requirements where required.

Requirements of the Document Controller:

  • Previous Document controller experience would be an advantage.
  • Prior experience of major contracts / projects would be an advantage,
  • Previous experience communicating formally and negotiating desired outcomes with customers is desired.

Preferred:

  • Sufficient Knowledge of drawings and specifications is required to ensure that the incumbent uses judgment when evaluating submissions and comments received in order to question and where necessary escalate any issues arising.
  • Strong systems experience such as MS Office & Adobe Acrobat is essential. The incumbent is expected to treat the company's databases as the only master information and be familiar with the discipline this entails.
  • Knowledge of an ERP system, particularly SAP is desirable.
  • Knowledge of Oil and Gas industry terms and procedures, whilst not essential, is desirable
