Personal Assistant

Fantastic opportunity for a professional, polished PA to get fully immersed in a fast-paced 1:3 support role.

Looking for a candidate with exceptional organisation skills with the ability to efficiently manage competing priorities in a pro-active manner. Experience of managing multiple diaries and booking global travel is essential.

Skills/Experience Required:

  • 5 years' experience working in Personal Assistant role
  • Excellent communication skills and experience liaising with stakeholders at all levels
  • Exceptional attention to detail
  • Strong team player spirit
  • Proficient in Microsoft Office Suite

Main responsibilities will include:

  • Extensive diary management working across multiple time zones. Ensuring meeting cadence is adhered to and optimised taking into consideration team travel and ad-hoc situations.
  • Attending meetings as required, taking and distributing notes and following up actions.
  • Co-ordinating complex global travel with detailed itineraries as required for principals.
  • Booking travel/hotels/misc. for team members as required.
  • Preparing, reconciling and submitting travel and corporate expenses for principals.
  • Personal admin and errands for principals.
  • HR admin: Manage scheduling of key hires, compiling and updating records and trackers, drafting and sending correspondence as required.
  • Driving company development and strategy program: working with key management on understanding, actioning and reviewing the business ways of working according to the guide source.
  • Working with senior management on long term business plan.
  • Presentation creation/support for principals. Work on detailed and cohesive way to find a format that is correct.
  • Develop understanding of key clients, working closely with principals on client dinners, events, gifting and further projects of a similar nature.
  • Manage relationships with key external parties such as brands, consultants, business partners etc.
  • Manage NYC apartment in terms of who is visiting and when, external use, day to day running and anything further related to apartment.
  • Company events planning and management including Christmas party, summer party, ad-hoc team building, senior management away days.
  • Develop, implement and attend senior management half yearly off-site allowing for a balance of group discussion time alongside team building events.
  • Work closely with principals on managing the company LinkedIn and other social/online platforms - taking ownership of updating with relevant information.
  • Own and manage quarterly newsletter and end of year wrap up that goes to all external partners that highlights company key achievements. Compile relevant info and work with design to produce.
