Hours: 36.25 hours per week, 08:15 - 16:15 (45 min lunch), Term Time + 10 Days

The Role

The HR Administrator is a key member of the administrative staff within the school. Organised, flexible, friendly and self-motivated in their approach, they will have a calm manner and an ability to communicate effectively with all stakeholders. They will have experience of managing recruitment and HR procedures with meticulous attention to detail and due regard for confidentiality and safeguarding processes. They will also provide efficient, and confidential administrative support to the Headteacher and other members of the Senior Leadership Team.

Key Responsibilities

  • To oversee HR Administrative duties in relation to Recruitment, Safeguarding, Payroll, Personnel records and returns administration & liaise with Business Manager and Finance Manager.

  • To promote and safeguard the welfare of all children and young persons for whom the post holder has responsibility and with whom the post holder comes into contact.

  • To ensure the Single Central Record is maintained to the statutory requirements and ensure that safer recruitment practices are adhered to

  • To provide specific administrative support to the Headteacher and members of the Senior Leadership Team

  • To carry out all pre-employment checks including all those related to safer recruitment, follow up references and producing conditional offer letters and organising contracts being sent out

  • To liaise with the Assistant Headteacher who has responsibility for Induction of all staff to ensure that all new staff receive appropriate Induction, including access to Training prior to starting their role

  • To support the administration of support staff probationary reviews within required timescales ensuring all relevant paperwork is completed and retained on HR files.

  • Liaising with senior colleagues to co-ordinate and manage all stages of the recruitment process:

  • Ensuring that the recruitment documentation is prepared prior to placing advertisements in the appropriate places, and posting information on the school website;

  • Collating application forms and covering letters for the selection panel to review;

  • Arranging interview schedules and inviting applicants to attend interviews, collating references and documentation as required;

  • Making logistical arrangements for interview days.

  • To undertake a range of administrative duties for the Headteacher and members of the Senior Leadership Team, some of which will be of a complex nature.

  • Act as the main point of contact for the Headteacher for staff, external agencies etc.

Skills and Qualifications

  • 5 GCSE's or equivalent, including A*-C in English and Mathematics
  • A Level qualification or equivalent
  • Minimum 2 years of working in a HR generalist role
  • Experience of using HR systems, inputting data and maintaining systems
  • Excellent working knowledge of Microsoft Office including Word, Excel and Outlook
  • Knowledge of HR policies/employment law, administrative procedures and regulations
  • Knowledge of the recruitment process
  • Excellent time management, organisational and administrative skills
  • Thoroughness and excellent attention to detail and accuracy
  • Ability to build effective relationships with line managers and employees at all levels
