My client is a leading provider of commercial heating solutions, offering comprehensive services in Building Management Systems (BMS), control equipment, and all related mechanical and electrical work.

My client is seeking a highly organised and dynamic Senior Contract Administrator to join their head office team in Hemel Hempstead. In this role, you will play a crucial part in supporting the smooth operation of our reactive maintenance and servicing contracts, specifically within the social housing sector. You will lead and mentor a small admin team, ensuring the timely and efficient delivery of services while maintaining high standards of client communication and contract management.

Key Responsibilities:

Administrative Support:

Oversee and support the admin team in their daily, weekly, and monthly tasks, ensuring the efficient management of reactive maintenance and servicing contracts in gas, hot water, and central heating services

Team Training & Development:

Provide training for new admin staff during onboarding and assist with the recruitment and interviewing process for any team vacancies.

Invoicing & Quotations:

Ensure that invoicing is completed promptly following job completion, and that quotations are sent to clients and purchase orders are issued to suppliers in a timely manner.

Planning & Scheduling:

Manage the daily planning and scheduling of both small and large works to meet Service Level Agreements (SLAs) across various contracts.

Communication:

Liaise regularly with office staff, field engineers, clients, and residents via phone and email to ensure seamless operations

Reporting:

Report directly to the Senior Contract Manager, providing updates on contract performance, team efficiency, and any process improvements.

Applicant Requirements:

Language Skills:

Excellent written and verbal communication skills in English are essential.

Experience:

Minimum of 3 years in planning/scheduling operative diaries.

At least 1 years in small team management.

Minimum of 2 years' experience in the gas/heating and hot water industry.

Technical Skills:

Proficient in Microsoft Office Suite.

Experience with CRM systems (willingness to learn new systems is essential).

Reporting & Stakeholder Communication: Demonstrated ability in report writing and effectively communicating with stakeholders

Leadership:

Confident in implementing changes in processes, team structure, and service delivery.

Work Ethic:

Able to thrive in a fast-paced environment with shifting priorities, demonstrating adaptability and a proactive attitude.

Teamwork & Independence:

Capable of working both independently and as part of a collaborative team.
