About the Company:

My client is a groundworks and concrete frame contractor that delivers projects ranging from £5million to £50million throughout London and the Southeast of England.

Role Purpose/Objective:

Providing a seamless service for the Operations Director within their busy daily schedule. This role provides administrative and organisational support and will also have the responsibility of overseeing the Luton Office facilities.

Key Responsibilities:

  • Organise and maintain extremely busy diaries and schedule appointment, both internal and external
  • Ensure busy diary commitments are managed effectively including preparation of agendas and relevant information, and paperwork for meetings etc.
  • Screen phone calls, enquiries and requests, and deal with them when appropriate.
  • Manage all the Operation Directors administration including expenses, accounts, filing and contacts.
  • Review post and manage paperwork signing requirements.
  • Prepare correspondence on behalf of the Operation Directors including drafting general replies.
  • Chase actions based on notes taken at Operation Director meetings.
  • Carry out Office manager and facilities duties at the Luton Office

Requirements:

Exceptional organisational skills

Excellent written and verbal communication skills, with the ability to adjust approach to suit the audience.

Accuracy and Attention to detail

Calm, measured and professional manner.

Ability to multi-task, balancing a variety of tasks at the same time dependent on their priority.

A flexible and adaptable approach to work

Ability to work on own initiative and produce documentation based on a brief from the Operations Director.

Proficiency in Excel, Word and PowerPoint is necessary.

Qualifications:

Must possess Maths and English GCSE or equivalent qualification

Secretarial /Business Administration qualification is desirable but not essential
