Project Co-ordinator

Bennett and Game are currently with a leading contractor who provides engineering services and process technologies to industries including water and wastewater, utilities, food and beverage, power, and industrial processes. The candidate will be based in the headquarters, featuring a fabrication workshop and engineering design office, is centrally located in Bedford, UK.

As the Project Coordinator, your main purpose in the role with be to provide support to project teams by ensuring that project information, documentation, and forms are methodically captured, stored, and accessible within the Client's or our own Common Data Environment (CDE).

Key Responsibilities/Requirements

  • Support the project team in controlling and maintaining project information/documentation in a methodical manner, ensuring timely issuance.
  • Ensure compliance with company and project information management protocols and procedures.
  • Act as the communication liaison for the project, design, and site teams, managing key documentation and handover information.
  • Build effective working relationships with all project, design, and site team members, up to and including Director level.
  • Assist relevant teams with workflow processes, Requests for Information (RFI), Change Control, and linking information to the correct folders within the CDE.
  • Manage the CDE by creating internal and external document folders, and managing user access.
  • Maintain registers of RFIs and Technical Queries (TQs), ensuring timely responses.
  • Maintain drawing and document registers that are issued to the client.
  • Keep the Non-Conformance Report (NCR) register up to date and ensure actions are closed out.
  • Assist the Project Engineer with compiling the Health & Safety file.
  • Perform Quality Assurance (QA) checks on documentation.
  • Generate and issue reports to internal and external parties as required.
  • Support project teams with uploading and calibrating drawings, inviting members, package creation, form distribution, and ongoing data management, including regular audits and reporting.
  • Take minutes at meetings, including Action Decision Log notes from internal weekly progress meetings.
  • Compile and formulate reports.
  • Assist in the creation and distribution of communication documents.
  • Update key documents, including contact lists and site address lists.
  • Perform any other duties as required by the Senior Project Manager.

Qualifications & Experience Required

  • Excellent verbal and written communication skills.
  • Highly organized approach to work.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to coordinate multiple activities under pressure.
  • Strong communication skills, with the ability to effectively engage with all members of the project, design, and site teams.
  • Ability to prioritize workloads to meet deadlines.
  • Aptitude for quickly learning new software and technology tools.

Key Skills

  • Proficient with Microsoft Office suite, including Outlook, Word, Excel, PowerPoint, and other desktop publishing software.
  • Relevant degree and/or experience in information management or a related field.
  • Knowledge and/or experience with the Document Control Process at an operational level.
  • Willingness to pursue relevant professional qualifications.
