Client Shipping Coordinator - Air Freight

Purpose
The purpose of this role is to define and ensure understanding of the responsibilities associated with the position of Client Shipping Coordinator.
Key Duties and Responsibilities
- Coordinating Shipping of High-End Goods

Oversee all aspects of a key client account.

Coordinate domestic and international shipments via air, sea, and road, with a focus on air freight.

Arrange customer collections and deliveries, including organizing specialist packing services when required.

Prepare and process shipping documentation, including booking transportation methods, bills of lading, labeling, timesheets, detailed condition reports with photos, and customs clearance.

Advise customers of any required payments and manage communication throughout the shipping process.

Invoice clients promptly and ensure records are accurate.

Maintain comprehensive records, including details on our freight management system.
- Managing Projects

Manage multiple project files simultaneously, ensuring all internal and external services (e.g., transport, case-making, freight) are booked in a timely manner.

Ensure accuracy in project information such as end dates, projected dates, invoice values, and costs.

Coordinate the transportation of items from one destination to another.

Assess clients' needs on a daily basis, liaising with overseas agents, private collectors, galleries, auction houses, artists, and transport companies.

Communicate with clients to provide regular updates and ensure their satisfaction.

Provide quotations and manage the coordination of both domestic and international shipments.
- Cross-Team Communication

Work closely with the sales and operations teams to ensure smooth workflow.

Provide administrative support to the sales team as needed.

Assist with various business operations as required.
