P/T Bookeeper & Office Administrator - flexible working available

This is an exciting opportunity to work in a dynamic award winning start up environment, taking a key role in the financial and general office management activities supporting a small team.

The role appeals to those who wish to work part-time with a high degree of flexibility and with a view to increasing working hours over time, as the business grows.

Candidates should have demonstrable bookkeeping and administration experience.

Reporting to the Director, you will have overall responsibility for the smooth running of the office and business finances. You will be supported by an accountant where required but must have prior experience in a bookkeeping role and using the Quickbooks accounting system.

A key role of the job will be to develop a suit of company policies and quality assurance procedures to become EN ISO 9001 accredited and manage to ensure everything is up to date.

In return my client can offer a flexible approach to working hours as well as the opportunity to work from home for the right candidate. You will be expected to work from the office at least 2/3 days a month.

OVERALL RESPONSIBILITIES:

  • Ensuring the core accounting functions of the business are accurate and kept up to date
  • General office administration, including record keeping and internal / external communications, research, appointment scheduling and staff contract / sickness and leave management.
  • Developing and managing office policies and procedures.

MAIN TASKS:

Finance:

  • Management of purchase and sales ledger on accounting system (QB Online)
  • Cash book, credit card entries & bank reconciliations and monthly journal entries
  • Monthly payroll, pension & RTI Submissions (Held with external accountant currently)
  • Creditor & debtor management reporting
  • Preparation and submission of quarterly VAT Returns
  • Preparing Year End account ledgers for our Chartered Accountant
  • Employee expense claims
  • Production of monthly management accounts and cash flow analysis

Office Administration:

  • Ensuring staff holiday is logged on our system and staff employment contracts are up to date
  • Ensuring business insurances are up to date
  • General organisation of the company server and documentation library
  • Appointment scheduling, customer phone and email communication
  • General administration duties to support the director
  • Conducting research and obtaining best quotes for business overhead and goods purchases
  • Placing and paying for goods and or services required by the business / staff
  • Occasional assistance with direct marketing activities (sending out brochures / Tenders)
  • Developing company policies and procedures.
