Our client is one of the UK's leading M&E companies and they are now seeking a HR Administrator to join their busy team based in Kings Cross.

Job Purpose

The primary aim of this role is to provide essential administrative support to the Human Resources (HR) department, ensuring the smooth and efficient management of key administrative processes. The individual will be responsible for executing these tasks promptly and to the highest standards of quality. Additionally, this role will ensure that employees have access to information and advice, manage employee benefits programs such as cycle-to-work schemes and health insurance, and handle the advertising and arrangement of company HR events. By maintaining organised and effective administrative operations, this role supports the HR team in achieving its strategic objectives and delivering high-quality service to the organisation and its people.

Key areas of Responsibility:

HR Information Systems (HRIS):

  • Assist with the roll-out and continued development of the Company's HR System.
  • Provide 1st line support for answering employee questions regarding the system's functionality.
  • Maintain and update all employee records on the system with a high degree of accuracy and in a time manner.

Management of the HR Inboxes:

  • Serve as the 1st point of contact within the HR department, providing advice and information to employees promptly.
  • Escalate questions or concerns to the relevant Advisor or Business Partner.
  • Respond to external requests, such as employment, tenancy, and mortgage references.

Managing End-to-End HR Processes:

  • Oversee processes including New Starter, Leaver, Absence and Sickness, input and reporting, Probation, Secure ID Cards, Employee Benefits (cycle to work, health insurance, pension, etc.), and Childcare Vouchers.

Maintaining HR Trackers:

  • Track Starters and Leavers, Probation periods, and Work Experience placement.

Organising New Starter Inductions:

  • Coordinate and participate in weekly and monthly new starter inductions.
  • Organising and Arranging Company HR Events:
  • Manage events such as bi-annual pension review meetings, annual flu jab clinics, and critical worker medicals.

Creating and Sending Company-Wide Announcements:

  • Communicate company news and announcements via email and the intranet.
  • Taking Summary Meeting Notes:
  • Accurately record meeting notes in both formal and informal settings.

Supporting Recruitment:

  • Create job descriptions.
  • Add vacancies to the intranet and internal job board.Assist in interviews as and when needed.

General Office Support Duties:

  • Perform tasks such as archiving, ordering stationery, and filing.

This is a broad overview of the position and does not encompass all aspects of the role.

Knowledge & Experience:

  • Previous experience working as an Administrator or Office Support role, within a HR service would be an added advantage.
  • Experience working in a demanding role with multiple conflicting deadlines.
  • Previous experience of Information Systems/databases; experience using on HR System would be an added advantage.

Attributes & Skills:

  • Task-focused with exceptional organisational and time management skills.
  • High level of accuracy and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Ability to read policies and explain their context and application.
  • Proficiency in MS Office Suite.
  • Strong problem-solving skills and the ability to work independently.

Benefits:

  • 37.5 hours a week, Monday to Friday, 8.30am to 5.00pm
  • 4.00pm finish on Friday
  • Hybrid working on successful completion of probation (3 days in the office, two at home)—Monday in the office essential
