Location: Epsom

Reports to: Executive Director

Job Type: Full-Time - mainly working from home - initially you will need to be in their office until you have passed your probation. When requested you will need attend meetings/events.

### Job Summary:

The Charity Administrator (Events) will be responsible for planning, coordinating, and executing various events to support the charity's mission. The role involves working closely with the Events Manager and other team members to ensure the successful delivery of fundraising, awareness, and community events. This position requires excellent organisational skills, attention to detail, and a passion for the charity's cause.

### Key Responsibilities:

  • **Event Planning and Coordination:**
  • Assist in the development and implementation of event plans.
  • Coordinate logistics including venue selection, catering, equipment, and materials.
  • Liaise with suppliers, sponsors, and volunteers.
  • Develop and manage event budgets.
  • **Marketing and Promotion:**
  • Assist in the creation and distribution of promotional materials.
  • Utilise social media, email marketing, and other channels to promote events.
  • Maintain the events section of the charity's website.
  • **Volunteer Management:**
  • Recruit, train, and coordinate volunteers for events.
  • Ensure volunteers are briefed and supported during events.
  • **Administrative Support:**
  • Handle event-related correspondence and inquiries.
  • Maintain accurate records of attendees, donors, and sponsors.
  • Prepare and distribute event-related reports and evaluations.
  • **On-the-Day Event Management:**
  • Oversee the set-up, execution, and breakdown of events.
  • Ensure all health and safety regulations are adhered to.
  • Provide on-site support and troubleshoot any issues that arise.
  • **Experience:**
  • Proven experience in event planning and administration.
  • Experience working in the non-profit or charity sector is an advantage.
  • **Skills:**
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and event management software.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • **Personal Attributes:**
  • Detail-oriented with a high level of accuracy.
  • Ability to work under pressure and meet deadlines.
  • Flexible and adaptable to changing circumstances.

  • Willingness to work occasional evenings and weekends as required by event schedules.
