Service Charge Management Accountant

TristoneNash have partnered with a highly reputable social housing provider who is seeking to appoint a Management Accountant (Service Charge).

Location: South Wales

Start date: ASAP

Homeworking: Hybrid

Length of Contract: 18 months

Hours of work: 37.5 hours (09:00am to 17:00pm, Monday to Friday)

Core duties:

  • Calculate and review the setting of all service charges, ensuring they are correctly charged
  • Work with Housing, Development, Maintenance, Estate Services and Commercial in the setting of service charges for new schemes
  • Prepare service charge calculations and forecasts as well as leaseholder/commercial accounts
  • Monitor the input of all service charge invoices into the accounting system; code checking and making amendments as appropriate for the purposes of accurate budget reporting
  • Analyse system data to ensure that correct costs are reflected against properties and schemes to enable accurate recharges to be calculated
  • Work with other departments, liaise with head of housing on Section 20 and other statutory consultation with customers for major works and qualifying long-term agreements
  • Conduct site visits to schemes for service charge accounts to ensure accurate data is held if required
  • Liaise with the rents lead to ensure that all services charges are correct on resident rent accounts and any changes necessary are applied accurately

Role purpose:

  • Prepare and review accurate data for setting Service Charges on an annual basis
  • Provide a high quality, customer focussed finance partnering service to the Homeownership, Care and Support and Housing Management for all rent and service charge related activity
  • Liaise with various other departments to prepare, analyse and set service charges on an annual basis
  • The preparation of monthly management accounts. Accruals/Prepayment/Budget variance
  • Provide a high-quality, cost-effective service to the Group's leaseholders and service charge customers
  • Liaise with the organisations energy broker to manage the groups utility contracts and aid the Finance administrator (Utilities and service charges) with potential queries
  • Embrace a culture of collaborative working/continuous improvement, taking responsibility for ensuring quality of work is of an expected standard - with a particular focus to improve the quality of the inputted data and streamline the rent and service charge processes
  • Liaise with residents, contractors and suppliers, on a wide range of service cost related issues
  • Prepare and analyse (Build) data reports using (BI) Business Information systems
  • Production of accurate fixed/variable housing and commercial service charge statements in line with the business' rent setting procedures and dealing with service charge queries in a timely manner
  • Maintain effective administration systems, and databases so timely and accurate information is available and can be shared with colleagues
  • Produce reports for start/end dates of utility contracts, tendering requirements and value savings
  • Use systems thinking as a method of continuous improvement and self-assessment
  • Lead the implementation of new processes and controls and the implementation of new systems
  • Support the preparation of the monthly accounts and annual budget
  • Periodically review fixed assets within the fixed asset register
