Payroll Manager

Macildowie are supporting a not-for-profit organisation in Coventry to appoint a Payroll Manager to join their friendly, head-office team. This is a fantastic stand-alone opportunity to work with a great organisation, contributing to the effective management of their payroll and pensions services. Role Overview: As the Payroll Manager, you will support the Head of Finance in delivering a high-quality and efficient payroll and pensions service for our organisation. You will play a key role in streamlining processes, maintaining professional relationships with our outsourced payroll software provider (i-Trent), and ensuring seamless coordination with HR colleagues to provide accurate and timely payroll data.

Key Responsibilities:

  • Manage the end-to-end monthly payroll cycle (c450 employees), including processing new joiners, leavers, contractual variations, and absences as notified by HR.
  • Ensure accurate reflection of all payroll and pensions information in the payroll software (i-Trent).
  • Capture and apply HMRC tax code changes and ensure accuracy in payroll data.
  • Reconcile payroll outputs and provide explanations for month-on-month net pay variances of 20% and above.
  • Attend payroll sign-off meetings and provide authority for BACS payments for net pay, HMRC liabilities, and pension contributions.
  • Generate and provide monthly payroll and headcount reports to the Head of Finance.
  • Ensure timely and accurate monthly pension submissions for the public sector pension scheme.
  • Lead on pension auto-enrolment processes and annual payroll scale updates following pay reviews.

What We Are Looking For:

  • Proven experience in managing end-to-end payroll processes, ideally within a not-for-profit or public sector environment; although candidates seeking their first move into the not-for-profit sector will also be welcome.
  • Strong knowledge of payroll and pensions legislation, including tax, NI, and auto-enrolment requirements.
  • Proficiency with payroll software (experience with i-Trent is highly desirable).
  • Excellent communication skills and ability to work collaboratively with HR and finance teams.
  • Strong organisational skills with high attention to detail and accuracy.
  • Ability to meet internal and external deadlines and manage multiple responsibilities effectively.
