Your new role
The purpose of the Document Control and Scanning Officer is to provide document control and centralised scanning support for business areas, ensuring that information is processed, managed and made readily available for staff to agreed quality and service standards.

  • To prioritise key document management activities including the identification, sorting and preparation of documents for scanning into the clients' systems.
  • To ensure that all document requests from business users are dealt with to agreed quality and service standards.
  • To respond to queries in an efficient, courteous and helpful manner, effecting resolutions or escalating as appropriate.
  • To scan documents to the agreed guidelines, ensuring quality standards are met and that electronic documents are processed and available when required.
  • To ensure scanned documents are quality checked, sent to off-site storage within agreed service levels and to liaise with the Records team regarding deliveries and collections as appropriate.
  • To ensure that sufficient resources are in place to operate effectively by monitoring levels of resources and ordering when required.
  • To work in accordance with established business / systems methods and quality standards ensuring that QA processes are followed and any corrective action taken.
  • Identify opportunities for improved ways of working. Take the lead on reviewing and revising procedures and processes, the production of guidance and its implementation. What you'll need to succeed
  • Effective use of IT systems. MS Word, MS Excel and Outlook are widely used.
  • Proven experience of using high speed industry standard document scanning equipment is essential.
  • Experience of working within a busy document process and controlling the environment using document management applications is essential.
  • Familiarity with electronic document and records management systems (EDRM) is desirable.
  • Excellent administration skills are required as the post-holder will provide administrative support to the central scanning team.
  • To have a very high awareness of maintaining confidentiality and security of documents.
