Group Services Administrator

About the role

Outset is looking for a bright and diligent Administrative Assistant to help with the smooth running of our main office in Maidstone and to support our group businesses around the UK.

This position is ideal for someone who likes working with both people and information. Our preferred candidate will be personable and courteous and relish the challenge of keeping on top of a busy and varied workload. The Outset Group currently employs approximately 120 people around the UK, so you'll quickly get to know your colleagues and will work directly with many of them. You will need to be a proficient communicator with the ability to work independently on a wide range of tasks and be open to learning new skills and taking on new responsibilities.

This is a permanent, full-time position at our office in Maidstone, Kent.

Key Accountabilities & Responsibilities

  • Effective use of P4W/Tikit.
  • Liaising with fee earners for the production of client engagement letters, proposal drafting, approval and despatch to clients in a timely manner.
  • Administrative support for H&S training courses, presentations, handouts, post-course literature and online marketing.
  • Managing and dealing with queries sent to the Group Services and H&S email inboxes.
  • Confident use of company KYC, AML, PEP and Sanction monitoring online systems.
  • Assisting with the management of document templates and precedents across the business divisions.
  • Confidential, accurate and efficient support to fee earners.
  • Managing content and updating the Intranet.
  • Administration and management of external archiving, data storage and shredding supplier.
  • Assist in managing and maintaining stationary stock.
  • Proactive diary management, including liaison with clients to establish availability for meetings (internal and external).
  • Management of incoming and outgoing mail.
  • Answering telephone enquiries and directing them to the relevant point of resolution.
  • Organisation of travel arrangements when required.
  • Become involved in booking training courses/conference places etc. for all staff.
  • Assisting with the organisation of Outset events, including marketing events.
  • Provide cover for other administrative roles as appropriate.
  • Ownership of kitchen consumables; ensuring variety and availability.
  • Ad hoc tasks and projects as required by Group Services Manager.

Required Skills and Experience

  • Excellent knowledge of Microsoft Office (particularly Word and Excel).
  • Good written and verbal English.
  • Excellent manner and presentation.
