Faciltities by ADF have an exciting opportuntiy for a Sales Administration Assistant to join their expanding team.

Location: Bridgend, South Wales (CF35 5LJ)

Salary: Starting salary of £21,500 + competitive benefits package

Hours of work: 9am – 5pm with an hour lunch (35 hours per week)

Contract: Permanent

We can be flexible for the right part-time candidate if required.

About Us:

Facilities by ADF Plc provides serviced vehicle hire for high end television and film productions in the UK and Europe, specialising in on-location support for dramas and major features. The Sales Administration team sit within the Finance function but work closely with our Sales and Account Management team to ensure the accurate and timely billing of services to our customers.

Sales Administration Assistant - Role:

The Sales Administration Assistant role reports into the Office Manager, via the Senior Sales Ledger Administrator. The focus of the role is to support the team with all aspects of customer billing along with any other administrative tasks required by the Office Manager.

Sales Administration Assistant - Key Responsibilities:

  • Use Sage Intacct software, to invoice agreed purchase orders and maintain customer records
  • Assist with Shell & DKV Fuel bills analysis, administration, and invoicing
  • Assist with Dartford Crossing congestion charge analysis, administration and invoicing
  • Support Sundry receipts analysis, confirming recharges and issuing invoices
  • Assist with the preparation and issuing of pre-production packs to customers
  • Monitoring of ad-hoc hire outs and process invoices when required
  • Contribute to ongoing Sage Intacct development for streamlining processes
  • Assist with writing and Publishing the monthly Employee newsletter
  • Handle office admin: order office supplies, answer the telephone and sort post
  • Perform other general administrative tasks as required

Sales Administration Assistant - The Candidate:

  • Well suited to someone with proven administrative skills
  • Previous experience in a finance department
  • Excellent attention to detail
  • Good communication skills
  • Able to work constructively with other teams across the business
  • Experience of working with Microsoft 365 (particularly Excel) essential
  • Any experience of working with Sage Intacct or Salesforce is desirable
  • Ability to plan workload and prioritise where necessary
  • High standard of customer service
