Democratic Services Officer – Local Authority in the Midlands

A local authority based in the Midlands is seeking a dedicated Democratic Services Officer to join their team on a full-time, temporary basis. This role offers the opportunity to play a crucial part in supporting the democratic processes within the council, with responsibilities including managing committee meetings and ensuring effective governance.
Key Responsibilities:
- Committee Support: Provide comprehensive support for a weekly committee, including preparing agendas, arranging meetings, and ensuring the timely distribution of papers and minutes.
- Minute Taking: Accurately record and prepare minutes for committee meetings, ensuring that all decisions and discussions are documented clearly and distributed promptly.
- Governance Compliance: Ensure that all committee activities comply with relevant legislation and council procedures, providing advice on procedural matters as required.
- Liaison: Act as the point of contact between the committee and other stakeholders, including members, officers, and the public, addressing queries and facilitating effective communication.
- Administrative Duties: Manage and maintain records related to committee activities, including attendance, documentation, and correspondence.
- Meeting Coordination: Organize and coordinate logistics for committee meetings, including room bookings, technical arrangements, and attendee confirmations.
- Support to Councillors: Provide administrative support to councillors and assist with the preparation of reports and briefings as needed.
About You:
You will be an experienced Democratic Services Officer or have a strong background in a similar administrative or governance role. You should possess:
- Experience: Previous experience in a Democratic Services role or similar, with a solid understanding of council procedures and committee processes.
- Minute Taking Skills: Proven ability to take accurate and comprehensive minutes during meetings.
- Organizational Skills: Strong organizational and time-management skills, with the ability to handle multiple tasks and meet deadlines.
- Communication Skills: Excellent verbal and written communication skills, with the ability to liaise effectively with a range of stakeholders.
- Attention to Detail: High attention to detail in preparing documents and managing records.
- Office Presence: Ability to attend the office at least once per week, with flexibility for remote work on other days.
