Executive Assistant

OA are working with an established Charity organisation during a time of growth. We are looking for an Executive Assistant to join their team in Welwyn, Hertfordshire.

Executive Assistant – Job Details:

  • Welwyn, Hertfordshire (flexible working considered)
  • Full time, 35 hours per week (flexible working patterns considered)
  • £30,000 - £45,000
  • Permanent
  • 30 days annual leave
  • Pension scheme with employer contribution of 10% of salary

Executive Assistant – Main Duties:

  • Diary Management & Support:

  • Manage the Chief Executive's diary, travel, and appointments

  • Handle receipt and expense claim reconciliations

  • Prepare briefings, information, and documentation for meetings

  • Assist with papers, charts, speeches, presentations, and reports

  • Project Coordination:

  • Manage diary for various projects and consultancy work

  • Liaise with project teams and external consultants

  • Request and chase paperwork from clients

  • Handle initial enquiries on consultancy services

  • Prepare and maintain marketing information for consultancy services

  • Ensure quality and accuracy of project reports, edit as needed

  • Maintain up-to-date files and folders for project documentation

  • Provide data to the Chief Executive and Board

  • Participate in quality assurance processes

  • Update presentations for consultancy work

  • Office Support:

  • Assist with annual surveys and reviews

  • Proofread and contribute to newsletters and publications

  • Maintain quality and accuracy of documents on the website

  • Liaise with internal staff and external providers

  • Support members with ad hoc queries

  • Contribute to projects as directed by senior management

Executive Assistant – Skills & Experience:

  • High-quality PA or EA support to CEO/senior leaders
  • High degree of literacy and accuracy in written English
  • Excellent editing and proofreading skills
  • Strong IT literacy, especially with Microsoft Office
  • Project management experience
  • Experience in a membership organization or third sector is advantageous

  • Detail-oriented and able to meet deadlines
  • Collaborative and professional approach
  • Strong interpersonal and networking skills
  • Competent in using MS Office
