Job Description

This is a brand-new role for CWRT, the Administrator will play a pivotal role in providing support to compliance and loans officers with a key eye for detail and a respect for processes and compliance. The successful candidate will need to deliver at pace so a quick learner would be best suited. The Administrator is responsible for managing the loan process from application to closing and ensuring compliance with financial regulations. This role involves coordinating with clients, underwriters, and other CWRT staff members to facilitate smooth and efficient loan transactions.

Compliance is the backbone of CWRT and everything we do leads to it or from it. Training will be provided for the intricacies of the role however attention to detail, understanding of the benefits of compliance and a desire to meet and exceed mandatory and regulatory requirements is fundamental for the success of the role along with strong administrative skills which are essential and do include the basic use of excel for data input, filtering and data validation.

Main Duties

Client Interaction:

  • Serve as the primary point of contact for borrowers, answering questions and sign posting warm leads to Loans Officers.
  • Responding to enquiries via multiple communication channels including and not limited to, telephone, teams, email and online portals.
  • Responsible for the management of the enquiry's inbox.

Document Management:

  • Prepare and review loan documents, sending out to gain signatures from all relevant parties.
  • Maintain accurate records and files, both electronic and paper, ensuring easy retrieval and confidentiality.
  • Usage of loan management system to verify loan details, maintain open banking links with borrowers and produce loan contracts and other documents
  • Updating portals/SharePoint and Dropbox with relevant information to meet contractual obligations

Compliance:

  • Ensure all loan files comply with internal policies and external regulations, maintaining accurate and complete records.
  • Maintain accurate records of compliance activities to include customer satisfaction surveys
  • Completion of pre-disbursement checklists to enable appropriate release of funds
  • Assist in investigating and resolving compliance issues
  • Support in the maintenance of electronic records retention and archiving

Coordination:

  • Collaborate with loan officers, management, and other stakeholders to ensure timely and accurate loan processing.
  • Ordering of office supplies

Funding and Closing:

  • Oversee the disbursement of loan funds and coordinate the loan closing process.
  • Completion of loan documentation to a high standard which must meet compliance and regulatory expectations

Problem Resolution:

  • Identify and resolve issues that arise during the loan process to prevent delays or errors.
  • Provide ad hoc support to the wider team

Reporting:

  • Maintain detailed records and prepare regular reports on loan status, processing times, and other key metrics. Prepare files and documents for annual external audits and health checks
  • Updating of key spreadsheets and Monday.com to support compliance and lending reporting

Other Responsibilities/Notes:

  • Complete all legislative and mandatory training as and when required.
  • Keep up to date with regulatory developments
  • Participation in catchups and appraisals with Line Manager
  • Provide cover for compliance and loans as and when required
  • Contribute to the delivery of the strategic vision.
  • Supportive of the ethos and culture at CWRT
  • Attend and contribute to Team Meetings/Away Days

As the company evolves, this role is expected to evolve too, this will be done with careful consideration, clear communication and in a rational and reasonable manner.

Qualifications, Skills & Experience

  • Relevant administrative qualification or QBE of more than 3 years' experience in a fast-paced admin environment
  • Strong understanding of compliance principles and financial regulations
  • Awareness of Financial Conduct Authority (FCA)
  • Awareness of CDFI's and financial services
  • Excellent communication skills
  • Effective time management
  • Problem solving ability
  • Demonstratable Microsoft packages skills including basic excel
  • Ability to show sensitivity and objectivity with confidential information
  • Methodical and organised
  • Passionate about SME's and their success
  • Diligent with a keen eye for detail.
