Job Opportunity: Service Administrator

Salary: £26,770 starting salary, reviewed after 6 months
Location: Office-based in Banbury Mon- Fri 8.30 - 5 with one hour for lunch.

Key Responsibilities:

Supporting Operations:

  • Assist the Assistant Service Manager with various tasks and provide absence cover when needed.
  • Coordinate with haulage companies to schedule collection and delivery.
  • Plan and allocate resources for projects and service work, maintaining daily site updates.
  • Collaborate with project managers and customers to meet their resource needs.
  • Ensure completion of works by liaising with technicians and customers.

Travel and Logistics:

  • Book travel and accommodation for the Service and Installation team, including flights, ferries, and vehicle hire.
  • Inform engineers of their travel arrangements.
  • Support colleagues with travel arrangements, optimizing for cost savings.

Equipment and Purchases:

  • Arrange plant hire and equipment for service and installation work, ensuring cost-effectiveness.
  • Manage weekly timecards and expenses, ensuring compliance with company policies and deadlines.
  • Identify, schedule, and coordinate department training, maintaining accurate training records.
  • Organize servicing of gas meters.

Financial Administration:

  • Raise purchase orders, ensuring accuracy and completeness.
  • Process receipts and authorize invoices in Sage.
  • Issue sales invoices for work orders and monthly Synergy invoices.
  • Handle chargeable/service job invoices and external labourrecharges.

General Duties:

  • Create service reports.
  • Adhere to health and safety policies, encouraging safe practices.
  • Maintain weekly whereabouts records and provide absence cover for colleagues.
