The West End temps team at Office Angels are recruiting for a Temporary Facilities Coordinator to join a award winning medical governing body client, on a Temporary to permanent basis.

Supporting facilities / Reception services at the large corporate offices in Euston.

JOB ROLE: Temporary Facilities Coordinator

COMPANY: Medical Governing Body / Medical Charity - that regulates Doctors in the UK

HOURS: Full time, Monday to Friday 08:00 to 16.00 - This is a fully office based role - 5 days per week.

SALARY: £17.23 per hour

LOCATION: Euston, London

As a Temporary Facilities Coordinator, you will play a vital role in providing comprehensive support to the facilities team. Your responsibilities will include:

  1. Supporting facilities services on a shift pattern, which may include weekends. This will involve consulting with the landlord security team, internal staff, and ensuring smooth daily operations.
  2. Assisting the reception service, maintaining the security system, checking passes, and auditing pass use. You will also be responsible for covering the reception desk, checking in visitors, and coordinating with cleaners.
  3. Supporting the Facilities Help Desk service by responding to tickets within agreed timescales. Additionally, you will allocate work and follow up on tickets to ensure service level agreements are met.
  4. Assisting in producing management information to support decision-making processes.
  5. Contributing to maintaining health and safety standards by completing necessary checks, updating risk assessments, and following first aid and fire evacuation procedures. This will also include conducting Display Screen Equipment (DSE) assessments.
  6. Performing planned preventive maintenance (PPM) tasks, including car park and office desk checks. You will also provide support for reactive maintenance works and produce access information when necessary.
  7. Assisting in supervising staff and managing rotas during the absence of the Assistant Facilities Manager (AFM).
  8. Supervising service providers to ensure standards of work are met and compliance with service level agreements. You will also be responsible for managing problem escalation.
  9. Following financial processes for facilities and accommodation cost centres to facilitate ordering.
  10. Supporting catering ordering and deliveries, as well as meeting room clearance.
  11. Providing assistance with fit-out and refurbishment works.
  12. Occasionally provide support to facilities staff at other locations throughout the UK,
  13. Undertaking other reasonable duties as assigned from time to time.

The ideal candidate for this role will have previous experience in facilities coordination or a related field. Additionally, the following skills and qualifications are required:

  • Strong organisational skills with the ability to prioritise tasks effectively.
  • Excellent communication and interpersonal skills to liaise with various stakeholders.
  • Proficiency in using facilities management systems and software.
  • Sound knowledge of health and safety regulations and procedures.
  • Ability to work independently and as part of a team.
  • Flexibility to work on a shift pattern, including some weekends.
