Neighbourhood Assistant - Contract Monitoring

Are you well organised, confident with computers and great with people? Fairhive are looking for a Neighbourhood Assistant (Contract Monitoring) team member to join our busy and friendly team for a 12 month fixed term contract !

Fairhive is a non-profit affordable housing provider with ambition. We already provide affordable housing to more than 20,000 people in our community but we want to do more. That's why we are striving to provide 1,000 additional homes by 2025.

As a Neighbourhod Assistant (Contract Monitoring) at Fairhive you can expect a varied workload and to be a valued member of our team, providing administrative support, essential to the smooth running of the business.

About the Role

We are looking for an organised administrator with good attention to detail and the ability to multi-task to provide essential administrative support to the Housing Services team.

On the Job you will:·

  • Deliver a quality support and advice service to residents on a range of housing and estate services issues and to establish, provide and maintain an effective and high quality administrative support service to the Neighbourhood Management and Estate Services Teams
  • Monitor the performance of contractors providing services to Fairhive for grounds maintenance and building cleaning.
  • Ensure that all correspondence and communication relating to Contractor's for grounds maintenance & cleaning is maintained, monitored and promptly responded to in accordance with established service standards.
  • Work using own initiative, responding to all correspondence within required timescales, assisting and supporting colleagues with all administrative duties including complaints.
  • Raise purchase orders and ensure they are authorised and processed in a timely manner as well as investigating any discrepancies on invoices.
  • Administer the gardening scheme works and maintain accurate and clear records for the building cleaning, grounds maintenance, fly-tipping removals and gardening scheme works.
  • Maintain a customer-focused, friendly and enthusiastic response to customer enquiries and give appropriate basic advice in relation to a range of tenancy and estate services related issues.
  • Collate information and start the process of commencing legal proceedings to deal with non access for gas servicing.

About You

We're looking for someone who can take ownership of a variety of administration tasks and who enjoys working with a diverse range of people. You will understand the importance of delivering an efficient and effective service to colleagues and customers.

For this role you will need to have skills and attributes that include:

  • To be numerate and literate, educated to GCSE level, or equivalent
  • To have strong verbal and written communication skills with the confidence to communicate across all levels of the business
  • Good IT skills
  • Organisational, time management, administrative and prioritisation skills
  • A commitment to the promotion of equality and diversity in service delivery
  • Ability to build effective working relationships with colleagues across the business to provide them with the information they need
  • Attention to Detail
  • Ability to work as part of team
  • Practical problem solving skills
