Are you a team player who thrives in a customer facing environment? Do you have strong communication skills, attention to detail and a knack for problem solving? If so, we have an exciting opportunity for a Facilities Assistant to join our team.

As a Facilities Assistant, you'll play a pivotal role in ensuring the smooth functioning of our office environment. This is blended role responsible for front of house reception and a range of general facilities assistant tasks. Working alongside the Facilities Manager and Facilities team, you'll be integral to maintaining our office operations and contributing to a positive workplace environment.

What you'll be doing:

  • Be the first point of contact for all visitors attending the office, providing a welcoming presence at reception, handling queries, and assisting visitors.
  • Assist the Facilities Manager with on-site contractors, ensuring health and safety compliance and safe working practices.
  • Support the Facilities Manager in maintaining health and safety legislation compliance.
  • Escalate maintenance issues to William Reed's approved contractors, and record and communicate these issues.
  • Provide cover for the Facilities Manager during leave and absence from site.
  • Perform regular inspections of the buildings to identify any maintenance needs or potential safety hazards.
  • Carry out minor maintenance tasks as the first line of response. Training will be provided to ensure these tasks are performed safely and effectively.
  • Assist the Facilities Manager with all matters relating to the management and control of waste and recycling streams.
  • Work alongside the team to issue and cancel staff and visitor door passes. Maintaining accurate records of issued passes and ensure security protocols are followed.
  • Provide porterage services, including the movement of furniture, equipment, and other items as needed. Assist with office setups for events and meetings.
  • Assist the Facilities Manager in maintaining a high level of security within the company and its property.
  • Manage the post room operations, including sorting and distributing incoming mail and preparing outgoing mail for dispatch. Deal with all aspects of courier receipts and despatches.
  • Assist other team members with sorting of incoming magazine returns where required.
  • Take part in the on-call emergency phone rota and deal with any arising issues accordingly, including keyholding duties where applicable.
  • Assist the Facilities Manager with overseeing other UK based offices in London and Brighton when required.

What you'll need:

  • Strong experience in customer facing roles, ensuring a positive experience and addressing any issues that arise.
  • Excellent verbal and written communication skills, to ensure clear and effective communication with colleagues, visitors, and contractors.
  • A good understanding of maths and English
  • Strong computer skills, particularly in Microsoft Office (Word, Excel, Outlook, etc.).
  • A proactive approach in identifying and addressing needs within the office environment and a willingness to help in assisting colleagues and visitors, ensuring a smooth and efficient operation.
  • Able to work effectively under pressure in time-sensitive situations.
  • Strong problem-solving skills to address minor maintenance or operational issues promptly. Applying logical thinking and practical solutions to overcome challenges effectively.
