Fleet & HR Administrator

Overview:

We are seeking a diligent and organised Fleet & HR Assistant to join our team. This role is vital in ensuring the smooth operation of our vehicle fleet and supporting our HR department with administrative tasks. The ideal candidate will have strong organisational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

Key Responsibilities:

Fleet Management:

  • Coordinate both planned and reactive maintenance of the company's vehicle fleet.
  • Ensure all vehicles are serviced, maintained, and compliant with legal and company standards.
  • Maintain accurate and up-to-date records of all fleet activities, including maintenance schedules, repairs, insurance and licensing.
  • Liaise with service providers and suppliers for vehicle maintenance and repairs.
  • Obtain quotes, raise purchase orders and sign off invoices to accounts.
  • Conduct regular inspections and audits of the fleet to ensure safety and operational efficiency.

HR Administrative Tasks:

  • Maintain accurate and confidential employee records, including personal details, contracts, and employment history.
  • Assist with the recruitment process, including posting job advertisements, scheduling interviews, and conducting initial screenings.
  • Support employee engagement initiatives and help organise training and development programmes.
  • Ensure HR compliance with company policies, procedures, and legal requirements.
  • Handle general HR enquiries from employees and provide support where necessary.
  • Prepare HR documents, such as employment contracts and letters of offer.

Required Skills and Experience:

  • Proven experience in a similar role, preferably within fleet management or vehicle service desk.
  • Strong organisational and time management skills, with the ability to prioritise tasks effectively.
  • Excellent attention to detail and accuracy in record-keeping.
  • Proficient in MS Office, particularly Excel, Word, and Outlook.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of HR practices and procedures.
  • Familiarity with vehicle maintenance and legal compliance is advantageous.
